# AI Accounts Receivable Automation for Cash Application

Every customer payment matched to the invoices it pays.

Your bank shows payments with shortened names and half-typed invoice numbers. Logistify's accounts receivable agent reads the bank file, works out who paid and which invoices the money covers, and records the payment in your accounting system. Anything unclear waits for your team with a plain reason and a suggested match.

The problem

## The money is in the bank. Your team still works out which invoices it pays.

Every morning someone exports the bank transactions, then takes each customer payment one at a time: who sent it, which invoice the reference means, and whether the amount covers one invoice, three, or only part of one. Bank names are cut short, references are half-typed, and head offices pay for their branches. Until each payment is applied in the accounting system, open balances are wrong, credit decisions rest on stale numbers, and customers who already paid get chased.

The solution

## Upload the bank file. We apply the payments and explain the rest.

Logistify reads your bank file and the open invoices in your accounting system. We find the payer from an invoice number in the bank text, the customer's PO number, a payer name your team confirmed before, or a short list of likely customers, then fit the amount to what each invoice still owes. Strong matches are approved in one click, or recorded on their own once you switch on Automatic. Short payments, overpayments, and unclear payers wait for your team with a suggested match. Confirm a payer once, and the next payment from that bank name matches without help.

How it works

## How Logistify delivers the work

1. 01
### Upload the day's bank file
Export from your bank as CSV or Excel, or upload a PDF statement or a photo. Each money-in line is saved once, so two exports that overlap by a day never create duplicate payments.
2. 02
### Find who paid
We look for an invoice number or their PO number in the payer name, particulars, code, and reference, then for a payer name your team confirmed before. Only when neither settles it do we compare the bank name with a short list of your customers.
3. 03
### Fit the amount to open invoices
The amount is compared, to the cent, with what each open invoice still owes: the invoices the customer named, a single invoice, the whole balance, or the oldest invoices first. Short payments and overpayments get a suggested split.
4. 04
### Record it, or explain why it waits
Ready payments are recorded against the right invoices in your accounting system. Every other payment waits for your team with a plain reason, such as "This looks like a short payment."

Exceptions

## Every payment is recorded, or waits with a reason.

A payment that cannot be applied safely is never guessed. It waits for your team with the reason in plain words and, where possible, a suggested match. Your team approves the suggestion or picks the invoices themselves.

“This looks like a short payment.”

A suggested split: the oldest invoices paid in full, the last one partly.

“This customer has paid more than they owe.”

A suggested split: every invoice paid, the rest left unapplied.

“We could not tell who sent this payment.”

Up to three likely customers to choose from.

“More than one set of invoices adds up to this amount.”

The possible sets, so your team can pick the right one.

“This may not be a customer payment.”

Transfers, bank fees, interest, and refunds are set aside with one click.

“This payment names invoices for more than one customer.”

The invoices named, for your team to split.

“This invoice changed in QuickBooks Desktop.”

Nothing is recorded. Match it again once the invoice is checked.

Control

## You decide how much runs on its own.

Automatic is switched on only after a trial run on past months that writes nothing to your accounting system, and after 50 approvals in a row go through unchanged. You set the largest payment it may record and how many it may record in a day. A pause stops all recording while bank files keep being read and matched, so nothing is lost.

1. 01
### Off
Nothing is imported, matched, or recorded.
2. 02
### Prepare only
Every bank line is matched. Ready payments wait for a person, and approving one records it.
3. 03
### Automatic
Strong matches within your limits are recorded without a person. Everything else still waits for your team.

Capabilities

## What's included in the service

### Reads the bank file you already download

CSV and Excel exports, PDF statements, Word files, and photos. A running balance proves which lines are money in. A row that cannot be read with confidence is listed for a person, never guessed.

### Finds half-typed invoice numbers

"INV20418", "inv 20418", and "INV-20418" all find invoice INV-20418. When a head office pays for a branch, the customer comes from the invoice, not the bank name.

### One payment, many invoices

Handles a payment that covers several invoices, a customer paying their whole statement balance, partial payments, and overpayments, with every amount worked out in whole cents.

### Learns your payers

When your team confirms who a bank name belongs to, Logistify remembers it for that customer. The next payment from the same name is matched without asking.

### Checks again before recording

Invoices are read again just before a payment is recorded. If one was paid by hand or changed in the meantime, nothing is sent and the payment waits for your team.

### A daily note

After 5 pm on your clock, a short summary of how many payments came in, how many were recorded, and how many are waiting for a person.

CollectionsNot available yet

## What comes next: collections.

Cash application is the first part of the Accounts Receivable Agent, because reminders are only as good as the overdue list. Collections, with reminder plans, replies read for you, and paid invoices dropped from the chase list, is in design and not available yet. Tell us how your team chases today and we'll include you in the pilot.

How we work

## An accounts receivable service, not more AR software.

Most accounts receivable software gives your team another screen to work through. Logistify does the daily matching for you: we read the bank file, apply what is clear, and hand your team only the payments that need a person, each with the reason.

FAQ

## Common questions

What is an AI accounts receivable agent?

It does the daily receivables work a person does by hand. Logistify's starts with cash application: it reads your bank file, works out which customer paid and which invoices the money covers, and records the payment in your accounting system. Anything unclear waits for your team.

What is cash application?

Applying each customer payment to the invoices it pays. Until it's done, open balances are wrong, credit decisions use stale numbers, and customers who already paid can get chased.

Which bank files does it read?

CSV and Excel exports, PDF statements, Word files, plain text, and photos of a statement. It doesn't read OFX, QIF, MT940, CAMT, or BAI2 files, and it doesn't connect to a live bank feed yet.

Does it work with QuickBooks Desktop Enterprise?

Yes. It records payments against open invoices in QuickBooks Desktop, including Enterprise.

Which accounting systems does it work with?

QuickBooks Desktop (including Enterprise), QuickBooks Online, Xero, NetSuite, and Brightpearl. In QuickBooks Desktop it records Receive Payments against open invoices. In Brightpearl it records a customer payment against each sales order, with the payment method linked to your bank account.

What happens with short payments and overpayments?

They're never recorded on their own. Logistify suggests how to split the amount, and the payment waits for your team to approve it or choose the invoices. Credit notes aren't handled yet, so a payment that relies on one shows as an overpayment.

Can it record payments without a person?

Only if you switch on Automatic. That needs 50 approvals in a row with no changes and a manager's sign-off. You set the largest single payment it may record and how many it may record in a day.

Does it send collection reminders?

Not yet. Collections is in design. Today the agent applies payments, so the overdue list your team works from is accurate.

## Start with a trial run on past months.

Send us two to three months of bank exports. We run them through payment matching without writing anything to your accounting system, then show you which payments would have been recorded and which would have waited for your team.
