## The Money Is in the Bank. The Invoices Are Still Open in QuickBooks.

A wholesale distributor on QuickBooks Desktop Enterprise receives 35 customer payments on a typical Tuesday. Most arrive by ACH, a few by check deposit and wire. Each morning someone in accounts receivable downloads the bank activity, opens Receive Payments in QuickBooks, and works down the list.

Some lines take seconds. A payment of $2,140.00 with "INV 20418" in the reference matches one invoice for the same amount. Others take minutes. A head office pays for a branch under a shortened bank name. A customer sends $4,800.00 against a $5,000.00 invoice with no note. A $20,000.00 line turns out to be a transfer from the company's own savings account. By the time the list is done it is late morning, and three payments sit in a spreadsheet waiting for a phone call.

Until each payment is applied, the A/R Aging report is wrong. Customers who already paid can receive statements and reminder calls, and credit decisions rest on balances that are a day or a week out of date.

## What Is Cash Application?

Cash application is the accounts receivable task of matching each incoming customer payment to the open invoices it pays, then recording it in the accounting system so every invoice shows the right balance. In QuickBooks Desktop Enterprise, that record is a Receive Payment. Cash application is different from collections, which follows up on invoices that have not been paid, and from bank reconciliation, which checks the bank account against the books at month end.

## QuickBooks Desktop Enterprise Is Not QuickBooks Online

Many search results for AI cash application in QuickBooks describe QuickBooks Online. The two products share a name, but the tools available for matching payments are different.

- QuickBooks Desktop Enterprise records customer payments in Receive Payments, where you pick the customer and tick the invoices the payment covers. With the Automatically apply payments preference turned on, QuickBooks posts the payment to the customer's oldest open invoice. It does not read the bank text for invoice numbers.
- Bank Feeds in QuickBooks Desktop download bank transactions and match them to entries already in the register. Bank Feed rules rename and categorize transactions. They do not work out which of a customer's invoices a lump-sum payment covers.
- QuickBooks Desktop Payments matches deposits automatically, but Intuit says it only matches deposits for transactions processed through QuickBooks Payments. ACH payments sent from a customer's own bank, checks, and wires still have to be applied by hand.
- Intuit's AI agents were announced for QuickBooks Online, and its QuickBooks connectors for Claude and ChatGPT work with QuickBooks Online and Intuit Enterprise Suite. A QuickBooks Desktop company file sits on your own server or hosted desktop, so they cannot reach it.

Most AI cash application software is built for NetSuite, SAP, Oracle, or QuickBooks Online, which all offer cloud APIs. QuickBooks Desktop Enterprise is reached through the QuickBooks Web Connector and qbXML, with a program running on the same computer as QuickBooks. A tool that does not support that route cannot record a payment in your company file. ## What Cash Application Involves

Matching a payment is a series of small decisions made in order. Each one can go wrong in a way that only shows up weeks later, when a customer disputes a statement.

- Is this line a customer payment, or a transfer, a supplier refund, bank interest, or a card settlement?
- Who sent it? Bank names are cut short and spelled differently from your customer list, and a parent company may pay for its branches.
- Which invoices does it pay? The customer may type an invoice number, their own purchase order number, or nothing.
- Does the amount fit one invoice, several invoices, the whole statement balance, or less than is owed?
- Where should the payment go: the bank account the money reached, or Undeposited Funds if that is how your team groups deposits?
- Is the invoice still open? Someone may have applied the same payment by hand an hour earlier.

## How Logistify Applies Payments in QuickBooks Desktop Enterprise

Logistify's [Accounts Receivable Agent](https://logistify.ai/agents/accounts-receivable/) runs these steps every time a bank file is uploaded. Ordinary code makes every decision that can be written as a rule. An AI model is used only where a person would look at a short list of names and say which one it is.

### 1. Upload the Bank File You Already Export

A finance person uploads the day's bank export on the Accounts Receivable page. CSV and Excel exports, PDF statements, Word files, and photos of a statement are all accepted. Spreadsheets are read by code using their column headers. For a PDF statement that prints a running balance, code proves which lines are money in with arithmetic. A row that cannot be read with confidence is listed for a person, never guessed.

Each money-in line is saved once, keyed on the bank's transaction id or a fingerprint of the row. Two exports that overlap by a day do not create two copies of the same payment.

### 2. Read Open Invoices From the Company File

Before matching, Logistify reads every open invoice from QuickBooks Desktop Enterprise along with the payments already applied to it. The amount owed on each invoice equals the balance remaining that QuickBooks shows, so a partly paid invoice is matched on what is left, not on its original total.

### 3. Find Who Paid

Code looks for proof in the bank text first, in this order:

- An invoice number. Spaces and dashes are ignored, so "INV20418", "inv 20418", and "INV-20418" all find invoice INV-20418. When an invoice number is found, the customer on that invoice is the payer, even if a head office sent the money.
- A bare number of at least five digits that belongs to exactly one open invoice. This counts for less than a full invoice number, because a number in bank text can be part of an account number.
- A payer name your team confirmed before. Once someone confirms that "HARBOR FDS BROO" is Harbor Foods Brooklyn, the next payment under that name is matched by code.

When none of these settles it, code builds a short list of up to eight customers: those whose open invoices add up to the amount, and those whose names look most like the bank name. An AI model is then asked which of those customers sent the money, or whether the line is a customer payment at all. It sees the bank text and the names, not the amounts. A confident answer is shown as a suggestion for a person to approve.

### 4. Fit the Amount to What Each Invoice Still Owes

Every amount is converted to whole cents before it is compared, so rounding never decides a match. Code tries these fits in order and stops at the first exact one:

- The invoices named in the bank text add up to the payment.
- One open invoice is owed exactly this amount. If two invoices are owed the same amount, the older one is suggested and a person approves it.
- The customer's whole open balance equals the payment, as when a customer pays a statement.
- The customer's oldest invoices, in due-date order, add up to the payment.

If none of these fit, code tries sets of two or three of the customer's oldest invoices. A single set that fits is shown as a suggestion that always needs approval. Otherwise the payment is short or over, and it waits with a suggested split.

### 5. Record One Receive Payment per Deposit

A ready payment is recorded in QuickBooks Desktop Enterprise as one Receive Payment, applied to every invoice the deposit pays and deposited to the account your team chose: the bank account itself or Undeposited Funds. One bank deposit stays one payment in QuickBooks, which keeps the bank reconciliation simple.

Just before recording, Logistify reads those invoices from QuickBooks again. If one was paid by hand or changed in the meantime, nothing is sent, and the payment waits with the reason "This invoice changed in QuickBooks Desktop." Each payment also carries a reference built from the bank line. If a job is interrupted, Logistify looks that reference up in QuickBooks before sending anything again, so the same payment is not recorded twice.

### 6. Learn From Your Team

Payments that wait are listed on the Accounts Receivable page with the bank text, the reason, and a suggested match where there is one. A person presses Approve match, or chooses the invoices themselves. When they confirm who a bank name belongs to, Logistify saves that name for the customer. After 5 p.m. on your clock, a short note says how many payments came in, how many were recorded, and how many are waiting.
