The Problem
Recently, I visited a manufacturer of bakery products in Nairobi, Kenya who described to me the manual process of sales-order collection in their sales department. Almost 70% of their incoming sales orders are via order channels such as Phone calls, SMS, and WhatsApp. 25% of their incoming sales orders are via email from Modern Trade customers such as supermarkets, hospitals, schools & other large organizations. Finally, 5% of their incoming sales orders are via their e-commerce platform. They receive on average 1,500 orders per day. The sales department has to compile all these orders into their ERP system, SYSPRO ERP. And this is where it gets interesting!
They have dozens of data-entry clerks scanning their sales-email, WhatsApp groups, SMS to extract sales orders and manually enter them into their SYSPRO ERP. The regional sales managers described two major frustrations with this manual process:
