**Who should choose which:** Choose an import tool such as SaaSAnt Transactions or Zed Axis if your orders already arrive as spreadsheets or CSV files: both import sales orders into QuickBooks Desktop from table files, from $125 or $155 a year. Choose Logistify AI if orders arrive as emails, PDFs in each customer's layout, scans or WhatsApp messages: Logistify reads them, matches each line to your items and creates the sales order, holding unclear orders for your team.

## The real question: do your orders already arrive as spreadsheets?

[QuickBooks Desktop can't import sales orders by itself](https://logistify.ai/guides/quickbooks-desktop/enter-pdf-purchase-orders-without-retyping/): its IIF import doesn't include them, and its Excel import covers lists only. Import tools fill that gap for table files. If orders reach you as rows and columns, such as an export from your web store, an order sheet your customers fill in, or a file from another system, an import tool is a cheap, fast fit. If orders arrive as customer emails and PDFs in each customer's layout, someone still has to turn each one into a spreadsheet first, and that is the retyping you are trying to remove.

[SaaSAnt's own file guidelines](https://support.saasant.com/support/solutions/articles/14000096261-file-format-guidelines-for-saasant-transactions-desktop-/) answer the PDF question directly: a PDF can't be imported, because import uses table formats. Its PDF to Excel tool converts a PDF into a spreadsheet you check and then import, and SaaSAnt notes that complex layouts may need manual fixes. We found no PDF or email reading on Zed Systems' site.

## Where import tools are stronger

- Price: $125 or $155 a year for the license.
- You control every row and every field mapping.
- Bulk work beyond orders: invoices, estimates, purchase orders, lists, edits, deletes and migrations.
- Zed Axis also imports into QuickBooks Online and QuickBooks POS, and can run unattended with QuickBooks closed.

## Where Logistify AI is stronger

- It reads orders as customers send them: email text, PDFs in each customer's layout, scans, photos, WhatsApp, SMS and voicemail.
- It matches products from your catalog and each customer's past orders, so customer part numbers and descriptions don't need a column map.
- Unclear orders wait for your team with the reason, instead of going in or failing an import.
- It's a managed service: Logistify sets up product matching and keeps it tuned.

## Using both

The two don't exclude each other. A distributor can keep an import tool for migrations, list updates and bulk edits, and use Logistify for the daily customer orders that arrive by email and WhatsApp. It doesn't read EDI or fax, and on QuickBooks Desktop it doesn't set price levels, inventory sites, or lot or serial numbers on the sales order.

## How to try Logistify

1. Pick one workflow, usually orders that arrive by email for one ERP company file.
2. Forward a week of real orders, including the messy ones, so product matching is set up from your catalog and each customer's past orders.
3. Run the 30-day pilot ($1,000, up to 150 completed tasks) while your current process keeps running, and compare the orders side by side.
4. Keep going on Core or Business if it works; the pilot fee is credited if you sign an annual plan within 14 days.

## Who should choose which

- Orders already arrive as spreadsheets or CSV files and you want the cheapest way into QuickBooks Desktop: SaaSAnt Transactions.
- You want unattended, scheduled imports of structured files into QuickBooks Desktop, Online or POS: Zed Axis.
- Orders arrive as emails, PDFs, scans or WhatsApp messages and you want them entered as sales orders for you: Logistify AI.

## Frequently Asked Questions

### Can QuickBooks Desktop import sales orders?

Not natively. Intuit's IIF import doesn't include sales orders, and its Excel import covers lists only. Import tools such as SaaSAnt Transactions and Zed Axis add sales order import from Excel and CSV files, and order entry services such as Logistify AI create sales orders from emails and PDFs.

### Can SaaSAnt import a PDF purchase order into QuickBooks Desktop?

Not directly. SaaSAnt's file guidelines say import uses table formats. Its PDF to Excel tool converts a PDF into a spreadsheet you check and then import, and complex layouts may need manual fixes.

### How much do SaaSAnt Transactions and Zed Axis cost?

SaaSAnt Transactions Desktop starts at $125 a year for one computer, and the $299 Migration plan adds scheduled automation. Zed Axis starts at $155 a year for two computers, with a separate Automate module for folder-watching imports. Both offer a 30-day trial.

### Does Zed Axis read orders from email?

We found no email or PDF reading on Zed Systems' site. Its Automate module watches a folder and imports new files by your rules, and it reads Excel, CSV, IIF and other structured files.

### What is the difference between an import tool and AI order entry?

An import tool moves rows from a spreadsheet into QuickBooks fields you map. AI order entry reads an order as the customer wrote it, works out the products and quantities, matches them to your items and creates the sales order, holding anything unclear for a person.
