**Short answer:** When a QuickBooks Desktop subscription ends, you keep your company file but can't edit it. An admin gets one year of view-only access. To cancel, sign in to CAMPs and go to Products & Services > Details > Cancel Service. To renew, contact Intuit. If a payment lapsed, update the payment method in CAMPs. Export your data before you cancel.

## What happens when the subscription ends

Intuit separates the software from your data. Once the subscription ends, you can no longer edit in QuickBooks Desktop. You keep the company file on your computer, and Intuit says you still own that data whatever your subscription status.

- View-only access lasts 1 year. You can open the file, view reports and export data, but you can't create transactions.
- After that year, you have to renew to view your data in QuickBooks again.
- Intuit customer support, Data Recovery services and Intuit Data Protect end.
- Desktop Payroll and Desktop Payments stop working, unless another active Desktop subscription covers them.
- A cancellation takes effect at your next billing date. Until then, you keep using the software.

Intuit's cancellation policy adds that reactivating the subscription or buying a license lets you convert the file to a readable Desktop format.

## Before you start

- Find out who the primary contact is on your Intuit account. Intuit says only primary contacts can update the payment method.
- Sign in to CAMPs at camps.intuit.com with your Intuit account. That sign-in is separate from your company file user name.
- Can't see a product? Sign out, then select Claim Account to link accounts registered under different emails.
- Check your release. View-only mode needs QuickBooks Desktop for Windows 2023 R3 or newer, or Mac Plus 2024 or newer.
- List the Desktop Payroll and Desktop Payments subscriptions tied to the file. Canceling the Desktop subscription doesn't cancel them.

## Step 1: Check the subscription in CAMPs

1. Go to camps.intuit.com and sign in.
2. If you see more than one account, pick the one that holds this QuickBooks Desktop product.
3. Find the product in the Products & Services list and select Details.
4. Note the license and product number, the user limit, the edition and version, and what your Care plan includes.

## Step 2: Renew, or fix a lapsed subscription

To renew a QuickBooks Desktop subscription, contact Intuit. Its view-only article lists a renewal contact. Existing Pro Plus, Premier Plus and Mac Plus subscribers can renew, though Intuit no longer sells them to new customers. Enterprise renews by phone or online. Intuit says a suspended Desktop Plus subscription can also be renewed.

If QuickBooks says your subscription has lapsed, Intuit's first fix is to update your billing info. It says the error doesn't affect your company data.

1. Sign in to CAMPs as a primary contact.
2. Select QuickBooks Desktop in your products and services, then Details next to the product.
3. Select Edit next to Payment Method, enter the new details, then select Save and Close.
4. Open QuickBooks Desktop and go to Help > Manage My License > Sync License Data Online.
5. If the message stays, install the latest QuickBooks update. Intuit's lapsed-subscription article lists further fixes after that.

### If a payment fails

- Intuit emails you about billing problems. It gives a 30-day grace period to renew after the final notice.
- If payments are missed, Intuit says it puts the file on hold for a week from when it detects the inactive subscription.
- While the file is on hold, you can't open it until you renew or set up view-only mode.
- Check your email for Intuit's instructions and the date it will try the payment again.

## Step 3: Get your data out before you cancel

Intuit recommends exporting your data before you cancel. View-only mode turns some features off, so export while everything still works.

1. Update to the latest release. Intuit says users on QuickBooks Desktop 2023 R1 or QuickBooks for Mac 2023 must update before canceling.
2. Back up the company file: File > Back up Company > Create Local Backup.
3. Export the lists and reports you need to Excel.
4. Export anything you need from Advanced Inventory and Advanced Pricing, such as sites, bins, serial and lot numbers, and price rules. View-only mode turns those features off.
5. Save copies of the attachments you rely on. Attachments linked to transactions can't be viewed in view-only mode.
6. If you run payroll, copy the folder named after your company followed by Tax Forms. Backups don't include payroll forms.
7. Switch the file to single-user mode. Intuit says view-only mode might not work in multi-user mode.

## Step 4: Cancel in CAMPs

1. Sign in to CAMPs and select the QuickBooks Desktop account you want to change.
2. In Products & Services, find the subscription and select Details.
3. Check that it's the right product, then select Cancel Service.
4. Give a reason if you want to, then select Continue to cancel.
5. Select Cancel Now. Intuit shows a confirmation and sends you an email.
6. Cancel Desktop Payroll or Desktop Payments separately if you no longer need them.

## Refunds and fees

| Subscription | What Intuit's cancellation policy says |
| --- | --- |
| Pro Plus or Premier Plus, monthly | Cancel for free. You keep access until the period ends, with no refund for it. |
| Pro Plus or Premier Plus, annual | Full refund if you cancel within 60 days of sign-up. After that, no prorated refund; access lasts until the period ends. |
| Enterprise Gold, Silver or Platinum, monthly | Full refund within 60 days. From then until the end of month 12, a termination fee equals the monthly payments left. |
| Enterprise Gold, Silver or Platinum, annual | Full refund within 60 days. After that, no prorated refund; access lasts until the period ends. |
| Desktop Payroll | Monthly: cancel for free, with no refund. Annual: full refund within 60 days of sign-up. |
| Intuit Data Protect | No refund for the unused part. Intuit keeps your backed-up files for 30 days after you cancel. |

*From Intuit's QuickBooks Desktop cancellation policies, checked October 20, 2026. The policy doesn't name Enterprise Diamond.*

Refunds go to the card you paid with. If you bought from Intuit and cancel within the 60-day guarantee, Intuit says the refund is automatic and arrives within two weeks. For a copy bought from a retailer, Intuit points to its separate return steps.

## Moving to Enterprise instead of canceling

If you're leaving Pro Plus or Premier Plus for Enterprise, Intuit says you're eligible for a prorated refund for the months left. Contact Intuit to request it. See how to [upgrade from QuickBooks Desktop Pro or Premier to Enterprise](https://logistify.ai/guides/quickbooks-desktop/upgrade-pro-premier-to-enterprise/).

## Limits of view-only mode

- Only company file admins can use it.
- It covers Pro Plus, Premier Plus and Enterprise, and Mac Plus 2024 or newer. Point of Sale and Mac Plus 2023 or older don't have it.
- It only works on the copy of QuickBooks already installed. Reinstalling QuickBooks loses it.
- Third-party apps can't connect.
- It doesn't work on Intuit Cloud Access hosting.
- Advanced Inventory and Advanced Pricing must be off, so sites, bins, serial and lot numbers, barcodes and price rules aren't available.

## Where QuickBooks Desktop leaves the work to you

- Intuit sends billing notices by email and keeps payment details in CAMPs. Someone has to watch both.
- Canceling the Desktop subscription doesn't cancel payroll or payments. Each needs its own step.
- Intuit recommends exporting before you cancel, but choosing what to export, and doing it, is up to you.
- After the year of view-only access, the data is still yours, but you need an active subscription or license to open it in QuickBooks.

## Frequently Asked Questions

### Can I still use QuickBooks Desktop if I don't renew?

Only to look. The admin gets view-only access for one year, with reports and exports but no new transactions.

### How do I cancel my QuickBooks Desktop subscription?

Sign in to CAMPs, find the product under Products & Services and select Details. Then select Cancel Service, Continue to cancel and Cancel Now.

### Do I get a refund if I cancel QuickBooks Desktop?

Annual plans and monthly Enterprise Gold, Silver or Platinum plans get a full refund if canceled within 60 days of sign-up. Otherwise Intuit gives no refund for unused time, and a monthly Enterprise plan canceled before month 12 ends owes a termination fee.

Yes. The stop-sell only affects new subscribers, and Intuit says existing Pro Plus, Premier Plus and Mac Plus subscribers can keep renewing.
