**Short answer:** The QuickBooks Web Connector is a free Intuit program that runs on the Windows computer with QuickBooks Desktop. On a schedule, it asks a web app for work over HTTPS, passes the app's qbXML requests to QuickBooks, and returns the responses. You add an app by loading the vendor's .qwc file and entering the app's password. The computer must stay on with the Web Connector running, and QuickBooks must be able to reach the company file.

## Before you start

- The Web Connector only works with QuickBooks Desktop. Intuit's programmer's guide lists QuickBooks Online as not supported.
- Install it on the computer where the company file is saved. Intuit says it can only be installed where the file is stored locally.
- Get the .qwc file and the password from the app's vendor. The .qwc file never contains the password.
- Ask the vendor which Web Connector version they recommend.
- Sign in to QuickBooks as the admin. You need admin rights to authorize an app and to remove one.

## How the Web Connector works

An app has to be on the same computer as QuickBooks, or on the same local network, to send it requests through Intuit's SDK. A web app hosted elsewhere can't do that. So Intuit offers the Web Connector for free. It sits on the QuickBooks computer and relays requests for the web app.

- At each scheduled run, or when you start an update, the Web Connector contacts the app's web service over HTTPS.
- It signs in with the user name from the .qwc file and the password you saved for the app.
- If the app has work, it sends requests written in qbXML, Intuit's XML format for QuickBooks Desktop. The Web Connector passes each request to QuickBooks.
- QuickBooks processes the request, and the Web Connector sends the response back to the app.
- If the app has nothing to do, the session simply ends.

Because the Web Connector starts every session, you don't need to open a port in your firewall. Intuit notes that some firewalls still block its outbound connection and need a rule to allow it.

### What's in a .qwc file

A .qwc file is a small XML file that the vendor generates for your account. It tells the Web Connector where the app is and how to sign in. It typically holds:

- The app's name and a short description, which you see in the Web Connector and in the authorization prompt.
- The address of the app's web service. Outside of testing, it must start with https://.
- Your user name for the app. There's no password field, by design.
- IDs that tie the app to one company file. The first time the app connects, the Web Connector stores a file ID in that company file.
- Optional settings: a suggested run interval, which QuickBooks editions the app supports, and whether it asks for read-only access, unattended access or personal data.

A .qwc file is plain text, so you can open it in Notepad to see what an app asks for before you add it.

### Scheduled syncs, and why the computer must stay on

- You set how often each app runs. The vendor can suggest an interval in the .qwc file, but you can change it. The shortest interval you can set in the Web Connector is one minute.
- Treat the interval as the least time between runs. A run can start later than that.
- Nothing runs on schedule unless the Web Connector is open. If someone closes it or the computer is off, syncing waits until it's started again.
- QuickBooks has to be reachable. Unless the app is authorized for unattended access, QuickBooks must be open with the right company file.
- If you try to exit with jobs scheduled, the Web Connector warns you (QBWC1020). Clear the Auto-Run boxes first if you mean to stop syncing.

## How to add an application

1. If the Web Connector isn't installed, close QuickBooks and download the latest version from the Intuit Developer site. Extract the zip file and run QBWebConnectorInstaller.exe as administrator.
2. Download the .qwc file from the app's vendor and keep a copy. You'll need it if you ever reinstall.
3. Open QuickBooks, sign in to the company file as the admin, and close any other open windows.
4. Open the Web Connector: in QuickBooks, go to File > App Management > Update Web Services.
5. Select Add an Application and browse to the .qwc file. Double-clicking the .qwc file also adds it.
6. When QuickBooks asks whether to allow the app, read the certificate details and choose an access level. Our guide to read-only access explains each option.
7. Back in the Web Connector, enter the password the vendor gave you for the app. The Web Connector stores it encrypted on that computer.
8. Select the app's checkbox, then Update Selected, to run the first sync. Turn on Auto-Run and set the interval if it should run on a schedule.

For the access levels, see how to [give an integration read-only access in QuickBooks Desktop](https://logistify.ai/guides/quickbooks-desktop/give-integration-read-only-access-quickbooks-desktop/).

Some apps listed in Intuit's app management connect another way. In Intuit's setup article, you go to File > App Management > Manage Web Apps and select Set up next to the app. You then finish on the app's website. Follow your vendor's instructions for which route their app uses.

## See which applications already have access

A QuickBooks Desktop file that has been in use for years often has add-ons connected that nobody at the company remembers. Before you add or remove anything, list what's there. Check these places:

- The Web Connector's list of applications. Open it from File > App Management > Update Web Services. Each row is one web app, with its Auto-Run setting and a Status column that shows messages from the last update.
- Manage Web Apps. In QuickBooks, go to File > App Management > Manage Web Apps, then select Connected apps.
- Integrated Applications. Go to Edit > Preferences > Integrated Applications > Company Preferences. This lists the applications authorized to access the company file. Select one, then Properties, to see its access rights, and Details for its certificate.
- ODBC, on Enterprise. Custom reporting through the QuickBooks Enterprise ODBC driver uses its own ODBC users, separate from QuickBooks users. Its setup is under File > Utilities.

For each entry, write down its name, what it does, who at your company owns it, and whether it's still used. Ask the vendor before you remove one you don't recognize. Once an app is removed, its data exchange with QuickBooks stops.

## How to remove an application

Intuit says to remove an app in this order. If you remove it from the QuickBooks preferences first, it can get stuck in the Web Connector.

1. Sign in to the company file where the app is connected as the admin.
2. Go to File > App Management > Manage Web Apps, select the app, and select Remove. Wait for the confirmation that it's removed.
3. Go to Edit > Preferences > Integrated Applications, then Company Preferences. Select the app, select Remove, then OK.
4. Open the Web Connector. If the app is still listed, remove it there too.

## Common Web Connector errors to check

| Error | What it usually means | What to check |
| --- | --- | --- |
| QBWC1007 to 1009, QBWC1022 to 1024 | The Web Connector couldn't connect to QuickBooks | QuickBooks is running, the company file is open, and no other QuickBooks window is in the way |
| QBWC1053 | A dialog box is open in QuickBooks | Close open windows. If that fails, end the QuickBooks processes in Task Manager and try again |
| QBWC1012 | The app's own server couldn't process the sign-in | Contact the app's vendor. Intuit says it can't resolve this one |
| QBWC1030, 1040, 1041 | The app's password is missing or wrong | Re-enter the password from the app. If you've lost it, ask the vendor |
| QBWC1011, 1032 | The Web Connector can't find the app | Restart the Web Connector. If needed, remove the app and add it again with its .qwc file |
| QBWC1048 | The app's server certificate couldn't be verified | Remove the app's .qwc file and download a fresh one from the vendor |
| QBWC1088 | The company file doesn't match the one the app was set up for | Download the .qwc file again and replace it |
| QBWC1005, 1006, 1033, 1085 | The Web Connector can't create, find or write a file it needs, usually its log file, QWCLog.txt | Windows permissions on that file. Sign in as a Windows admin to set it up |
| Error when parsing the provided XML text stream | The app sent data QuickBooks can't read, such as an unsupported character or a field that's too long | Send the error to the app's vendor |
| Application with Revoked Certificate | A certificate the app relies on now appears invalid | Update QuickBooks Desktop to the latest release |

*Based on Intuit's Web Connector error help, checked October 2026*

The Web Connector writes a log file, QWCLog.txt, and vendors often ask for it. For one log error, Intuit points to C:\ProgramData\Intuit\QBWebConnector\log.

## Where QuickBooks Desktop leaves the work to you

- Someone has to keep the computer on, the Web Connector running and QuickBooks reachable on schedule.
- Messages in the Status column are short. Ask the vendor where its own sync log is, and check that too.
- When an app writes data and the connection drops partway, the app has to recover. Intuit warns developers against simply resending requests that write data.
- QuickBooks lists the apps you've connected, but it doesn't tell you which ones are still needed. Someone has to review the list.

Some AI tools that reach QuickBooks Desktop use this same route, through a bridge program using the Web Connector and qbXML. We cover the tradeoffs in our post on [whether Claude Code or ChatGPT Codex can connect to QuickBooks Desktop Enterprise](https://logistify.ai/blog/can-claude-code-or-chatgpt-codex-connect-to-quickbooks-desktop-enterprise/).

## How Logistify helps

Logistify is a managed service, not a connector. The [Accounts Receivable Service](https://logistify.ai/agents/accounts-receivable/) matches customer payments in your bank file to the open invoices they pay and records them in QuickBooks Desktop. The [Sales Order Service](https://logistify.ai/agents/sales-order/) enters customer orders as sales orders, with a person reviewing exceptions. The [Procurement Service](https://logistify.ai/agents/procurement/) follows up with suppliers on open purchase orders.

## Frequently Asked Questions

### Does the QuickBooks Web Connector work with QuickBooks Online?

No. Intuit's Web Connector guide lists QuickBooks Online as not supported; it works with QuickBooks Desktop editions such as Pro, Premier and Enterprise.

### Does QuickBooks have to be open for the Web Connector to sync?

Usually. The Web Connector must be running, and unless the app has unattended access, QuickBooks must be open with the right company file.

### Where do I get a .qwc file?

From the vendor of the app you're connecting. Each customer gets their own .qwc file, and you enter the app's password separately in the Web Connector.

### How do I see which apps are connected to my QuickBooks Desktop file?

Open the Web Connector from File > App Management > Update Web Services, and check Edit > Preferences > Integrated Applications > Company Preferences. On Enterprise, also check the ODBC setup under File > Utilities.
