Short answer

To match bank deposits to invoices in Intuit Enterprise Suite, apply each customer payment to its open invoice: select + Create > Receive payment, choose the customer and select the open invoice. Intuit's Accounting AI article doesn't say the AI matches deposits to invoices. Its Ready to post group on the Bank transactions page offers suggestions such as category, customer or vendor, and you post them in one click.

Before you start

  • Accounting AI is included with Intuit Enterprise Suite, and with QuickBooks Online Essentials, Plus and Advanced.
  • Your bank transactions show on the Bank transactions page. The Accounting AI's Ready to post banner appears there and in your Needs attention widget.
  • AI-powered reconciliation and the report issue check are advanced Accounting AI features. Intuit lists them for QuickBooks Online Plus, QuickBooks Online Advanced and Intuit Enterprise Suite.
  • Intuit's Accounting AI article was updated 26 October 2026. For how AI suggestions match and categorize bank transactions in general, it points to a separate QuickBooks Online article.

Step 1: Review what's ready to post

  1. 1Look for the Ready to post banner in your Needs attention widget or on your Bank transactions pages.
  2. 2Review the transactions in Ready to post. They're the ones the Accounting AI is confident you could post with its suggestions, such as category, customer or vendor.
  3. 3Change any suggestion that isn't right.
  4. 4Post them all with a single click.

Step 2: Check what the Accounting AI auto-posted

  1. 1Open your Needs attention widget to see what was auto-posted for you.
  2. 2On the Posted tab, look for the RULE and AUTO badges on transactions that were auto-posted.

Intuit lists two kinds of auto-post. The Accounting AI matches direct deposit paychecks and payroll tax payments handled by Intuit QuickBooks Workforce or QuickBooks Desktop Payroll, and it matches transactions to bills paid with QuickBooks Bill Pay. Customer deposits against invoices aren't on that list.

Step 3: Apply a customer payment to an open invoice

Intuit's "Receive and process payments" article lists Intuit Enterprise Suite among its products, but it's written for QuickBooks Online. These are its steps for matching a payment to an existing invoice.

  1. 1Select + Create, then select Receive payment.
  2. 2From the Customer ▼ dropdown, select the customer.
  3. 3Select the payment date and the Payment method ▼ the customer used.
  4. 4Depending on the payment method, enter the reference no. and the amount received, and select the Deposit to ▼ account.
  5. 5In the Outstanding Transactions section, select the open invoice to apply the payment to. For a partial payment, enter the amount the customer paid in the PAYMENT field.
  6. 6Select Save and close or Save and new.

Step 4: Let the Accounting AI check your reconciliation and reports

When you reconcile a bank account, the Accounting AI can point out possible issues and explain how to resolve them. Intuit's article doesn't give steps for reconciliation. It does give them for reports.

  1. 1Go to Reports, then Standard reports.
  2. 2Select the Balance Sheet or Profit and Loss report.
  3. 3Select the Insights icon above the report, then select Analyze Books with Accounting AI.
  4. 4If it finds a potential issue, "Accounting AI reviewed" shows below the insight. Select it to see the root cause.
  5. 5Select Download detailed report to get a PDF that explains the issue.

Intuit says the top issues it can find include AR/AP aging issues, duplicate transactions, miscategorizations and income that should have been deferred. It works on most Balance Sheet and Profit and Loss accounts, but not all of them.

Where Intuit Enterprise Suite leaves the work to you

  • Intuit's Accounting AI article doesn't say that Ready to post matches customer deposits to open invoices, splits one deposit across several invoices or reads a customer's remittance details. Plan for your team to do that.
  • Auto-post is listed for payroll and QuickBooks Bill Pay only. Customer deposits wait for someone to review and post them.
  • Applying a payment to an open invoice, including a partial payment, is a manual step in Receive payment.
  • AI reconciliation points out possible issues. Your team still resolves them and finishes the reconciliation.
  • Request more information, which asks someone what a transaction was for, is QuickBooks Online only.
