Why Doesn't Intuit's ChatGPT or Claude App Work With QuickBooks Desktop?
Intuit's QuickBooks apps in ChatGPT and Claude sign in to an account in Intuit's cloud: QuickBooks Online, and for Claude also Intuit Enterprise Suite. A QuickBooks Desktop company file lives on your own Windows computer or server, so those apps have nothing to read. Our comparison of QuickBooks AI connectors goes through each one.
Logistify already works inside Desktop company files through the QuickBooks Web Connector. It enters customer orders as sales orders, records customer payments against open invoices, and follows up with suppliers on open purchase orders. Logistify for QuickBooks Desktop lets ChatGPT and Claude read through that same connection, so nothing new is installed on the QuickBooks computer.
What Can ChatGPT and Claude Read From QuickBooks Desktop?
The plugin has eleven tools, and every one only reads. You ask in ordinary words and the assistant picks the tool. Claude lists them under Read-only tools in its connector settings, where you can let each one run without asking, ask for your approval first, or never run.
| Tool | What it reads | Good to know |
|---|---|---|
| Find QuickBooks customers | Customers, by part of the name or by exact QuickBooks ID | If several match, the assistant asks you to pick one |
| Find QuickBooks inventory items | Inventory items and their stock quantities | Inventory items only. A missing quantity means unknown, not zero |
| List QuickBooks sales orders | Sales orders for a customer, or by order number, with or without the lines | Needs a customer or an order number |
| Find QuickBooks vendors (suppliers) | Vendors, by part of the name | Contact details aren't included |
| List QuickBooks purchase orders | A vendor's purchase orders, or ones by number, with received quantities and whether each is open | Unknown means QuickBooks didn't report it |
| Show one QuickBooks purchase order | One purchase order with its lines and received quantities | Found from the purchase order list |
| List QuickBooks invoices | Invoices by customer, number or date, with what is still owed and the payments and credits applied | Needs a customer, an invoice number or a date range |
| List payments received in QuickBooks | Customer payments by customer, reference number or date, with the invoices each one paid | Card details are never included |
| List QuickBooks deposit accounts | The bank accounts and Undeposited Funds a payment can go to | Names only: no balances or account numbers |
| List QuickBooks company files | The company's QuickBooks files | Used when a company has more than one file |
| Show the connected Logistify account | The Logistify account and company the connection uses | Shows which company you're reading |
Results come one page at a time: 25 records unless you ask for more, up to 150. A page isn't the full list or a company total, so ask for the next page when you need it. If QuickBooks doesn't answer, the assistant says so instead of showing older records.
Questions to try
- Find our customer Acme in QuickBooks and show their open sales orders.
- Which of Acme's invoices from October are still unpaid, and how much is left on each?
- Which payments did Acme make in October, and which invoices did each one pay?
- Show our open purchase orders with Harbor Supply and the lines that haven't been received yet.
- How many units of item 4410B do we have in stock?
- What's on sales order 10432?
How Do You Add the Plugin to ChatGPT?
Logistify for QuickBooks Desktop isn't in OpenAI's plugin directory yet, so a ChatGPT workspace admin adds it as a custom MCP server. OpenAI's help says custom MCP servers are for ChatGPT Business and Enterprise/Edu workspaces on ChatGPT web (checked November 3, 2026).
- 1In ChatGPT, open Plugins, select the plus button, then Add custom MCP server.
- 2Name it Logistify for QuickBooks Desktop, enter https://mcp.logistify.ai/quickbooks-desktop/mcp, and choose OAuth for authentication.
- 3Accept the warning, select Create as a plugin, and review the tools ChatGPT finds.
- 4An admin or owner publishes it for the workspace. Members then sign in with their Logistify login the first time they use it.
How Do You Add the Plugin to Claude?
In Claude it's a custom connector added by its web address. Anthropic's help says custom connectors work in Claude, Cowork and Claude Desktop, and that Free plans can have only one (checked November 3, 2026).
- 1Team and Enterprise: an Owner or Primary Owner opens Organization settings, Connectors, chooses Add, hovers over Custom and chooses Web. Pro and Max: open Customize, Connectors, Add, then Add custom connector.
- 2Name the connector Logistify for QuickBooks Desktop and enter https://mcp.logistify.ai/quickbooks-desktop/mcp.
- 3Under Authentication, choose Sign in when needed. Under OAuth client, choose Register automatically. Leave Request headers empty.
- 4Each person opens Customize, Connectors, chooses Connect, and signs in with their Logistify login.
How Do You Add It to Claude Code or Codex?
- Claude Code: run claude mcp add --transport http logistify-quickbooks-desktop https://mcp.logistify.ai/quickbooks-desktop/mcp, then type /mcp, choose the server and sign in.
- Codex: run codex mcp add logistify-quickbooks-desktop --url https://mcp.logistify.ai/quickbooks-desktop/mcp, then codex mcp login logistify-quickbooks-desktop.
Our post on Claude Code, Codex and QuickBooks Desktop Enterprise shows what developers can build on top of it.
What Do You Need Before Connecting?
- A QuickBooks Desktop company file connected to Logistify through the QuickBooks Web Connector.
- QuickBooks open on the company's Windows computer while people ask questions. Every answer is read live from the file.
- A company admin turns on Assistant Connectors in Logistify, under Settings, Features. This allows the company's QuickBooks data to be sent to OpenAI or Anthropic when its people use the plugin.
- For now, people with the Admin or Customer Success Manager role in Logistify can connect. Invoices and payments follow the Accounts Receivable access rules, and suppliers and purchase orders follow the purchasing ones.
Each connection approves one company. To stop it, disconnect in ChatGPT or Claude, or press Disconnect in Logistify under Settings, ChatGPT and Claude. What we keep, and for how long, is in section 4 of our privacy policy.
What the Plugin Doesn't Do
- It doesn't create or change anything in QuickBooks: no sales orders, invoices, payments or purchase orders. Logistify's managed services do that work.
- It doesn't return customer or vendor addresses, emails, phone numbers, notes, tax details or bank details.
- It isn't built for company-wide analysis across every record. For that, an exported report is still the better tool.
- It isn't listed in OpenAI's or Anthropic's directories yet, so it's added by its address as shown above.
For the exported-report route, see how to send QuickBooks Desktop reports to ChatGPT or Claude.
