Is There an Official QuickBooks Desktop App in ChatGPT?
Not from Intuit. Intuit's QuickBooks app in ChatGPT connects to QuickBooks Online: Intuit's help article is titled "Connect QuickBooks Online to ChatGPT" and names no other edition (checked October 30, 2026). A Desktop company file lives on your own Windows computer or server, not in Intuit's cloud, so that app has nothing to read. Our comparison of QuickBooks AI connectors goes through each assistant.
A QuickBooks Desktop company file lives on your own Windows computer or server, and Logistify reaches it through the QuickBooks Web Connector, so nothing new is installed on the QuickBooks computer. Logistify for QuickBooks Desktop gives ChatGPT that same connection.
What Can ChatGPT Read and Change in QuickBooks Desktop?
ChatGPT can read customers, inventory items and stock, sales orders, vendors, purchase orders, invoices, payments received and deposit accounts in a Desktop company file connected to Logistify. With your permission, it can create a sales order from your chat request and send it to QuickBooks, send a sales order already saved in Logistify, approve a purchase order date update, and approve a customer payment match. That's 18 tools: 14 read and 4 make changes. You ask in ordinary words and ChatGPT picks the tool.
| Tool | Reads or changes | What ChatGPT reads or changes |
|---|---|---|
| Find QuickBooks customers | Reads | Customers, by part of the name or by exact QuickBooks ID |
| Find QuickBooks inventory items | Reads | Inventory items and their stock quantities |
| List QuickBooks sales orders | Reads | Sales orders for a customer, or by order number, with or without the lines |
| List Logistify sales orders and their QuickBooks status | Reads | Sales orders saved in Logistify, with each one's QuickBooks status |
| Create a sales order and send it to QuickBooks | Changes | A new sales order you ask for in chat: customer, products, quantities, any prices and the delivery date. Logistify creates it and sends it to QuickBooks |
| Send a Logistify sales order to QuickBooks | Changes | An order saved in Logistify, sent to QuickBooks as a new sales order |
| Find QuickBooks vendors (suppliers) | Reads | Vendors, by part of the name |
| List QuickBooks purchase orders | Reads | A vendor's purchase orders, or ones by number, with received quantities and whether each is open |
| Show one QuickBooks purchase order | Reads | One purchase order with its lines and received quantities |
| List purchase order date updates waiting for approval | Reads | Suppliers' promised dates that are waiting for approval |
| Approve a purchase order date update | Changes | A QuickBooks purchase order's expected date, set to the supplier's promised date |
| List QuickBooks invoices | Reads | Invoices by customer, number or date, with what is still owed and the payments and credits applied |
| List payments received in QuickBooks | Reads | Customer payments by customer, reference number or date, with the invoices each one paid |
| List QuickBooks deposit accounts | Reads | The bank accounts and Undeposited Funds a payment can go to |
| List customer payments with a suggested invoice match | Reads | Customer payments and the invoices Logistify suggests each one pays |
| Approve a customer payment match | Changes | A suggested match. Once it's approved, Logistify records the bank payment in QuickBooks against the matched invoices |
| List QuickBooks company files | Reads | The company's QuickBooks files |
| Show the connected Logistify account | Reads | The Logistify account and company the connection uses |
Questions to try in ChatGPT
- Find our customer Acme in QuickBooks and show their open sales orders.
- Which of Acme's invoices from October are still unpaid, and how much is left on each?
- Create an order for Acme: 20 of item 4410B, delivered next Friday.
- Which purchase order date updates are waiting for approval? Approve the one from Harbor Supply.
- Show customer payments with a suggested invoice match, and approve the match for Acme's payment.
- How many units of item 4410B do we have in stock?
How Does ChatGPT Make a Change in QuickBooks Desktop?
Only when the connection allows changes and you say yes. Logistify's connect page has an Allow changes box, unticked to start with. Unticked, ChatGPT can read but can't change anything. Ticked, it can make the 4 changes in the table, and before each one it shows exactly what will change and waits for a clear yes.
For example, ask "Create an order for Acme: 20 of item 4410B, delivered next Friday." ChatGPT finds the customer and items, reads the order back with prices and the delivery date, and waits for your yes. Logistify then creates the order through the same checks as its own screens, and ChatGPT checks the result before telling you it's in QuickBooks Desktop. A customer or item that isn't already linked to QuickBooks Desktop in Logistify is refused, with the reason, and a retried request doesn't create a second order. The QuickBooks Desktop plugin page explains how prices are chosen.
How Do You Add Logistify for QuickBooks Desktop to ChatGPT?
Logistify for QuickBooks Desktop isn't in OpenAI's plugin directory yet, so a ChatGPT workspace admin adds it as a custom MCP server. OpenAI's help says custom MCP servers are for ChatGPT Business and Enterprise/Edu workspaces on ChatGPT web, and that on Business only admins and owners can add and publish them (checked November 3, 2026).
- 1In ChatGPT, open Plugins, select the plus button, then Add custom MCP server.
- 2Name it Logistify for QuickBooks Desktop, enter https://mcp.logistify.ai/quickbooks-desktop/mcp, and choose OAuth for authentication.
- 3Accept the warning, select Create as a plugin, and review the tools ChatGPT finds.
- 4An admin or owner publishes it for the workspace. Members then sign in with your Logistify login and choose your company the first time they use it.
- 5On Logistify's connect page, tick Allow changes if ChatGPT should be able to make the changes in the table above. Left unticked, ChatGPT can read but can't change anything.
Codex
OpenAI's Codex adds it as a remote MCP server: run codex mcp add logistify-quickbooks-desktop --url https://mcp.logistify.ai/quickbooks-desktop/mcp, then codex mcp login logistify-quickbooks-desktop, and sign in with your Logistify login and choose your company.
Who Can Use It in ChatGPT?
ChatGPT Business and Enterprise/Edu workspaces on ChatGPT web. An admin or owner adds and publishes it for the workspace.
On the Logistify side
- A Logistify plan. Starter, at $99 per month per company, includes the plugin without any managed service. Core, Business and Enterprise include it at no extra cost.
- A QuickBooks Desktop company file connected to Logistify through the QuickBooks Web Connector.
- QuickBooks open on the company's Windows computer while people use the plugin. QuickBooks data is read live from the file, and a change reaches the file only while QuickBooks is open.
- A company admin turns on Assistant Connectors in Logistify, under Settings, Features. This allows the company's QuickBooks data to be sent to OpenAI when its people use the plugin.
- For now, people with the Admin or Customer Success Manager role in Logistify can connect. Invoices and payments follow the Accounts Receivable access rules, and suppliers and purchase orders follow the purchasing ones.
What Is Shared With OpenAI, and How Do You Disconnect?
What ChatGPT reads through the plugin is sent to OpenAI. Results leave out addresses, email addresses, phone numbers, notes, bank details, card details, custom fields and tax details. Each connection covers one company.
To disconnect, remove the plugin in ChatGPT's settings, or open the company in Logistify and press Disconnect under Settings, ChatGPT and Claude, Connected assistants. That list shows every assistant connected to the company. Removal takes effect on the next request, and an admin who turns off Assistant Connectors stops every connection. What we keep, and for how long, is in section 4 of our privacy policy.
What Doesn't the Plugin Do?
- It doesn't create or change any QuickBooks record beyond its four changes: no invoices, bills, items or customers, and no other edits or deletes.
- It doesn't guess. A customer or item that isn't already linked to QuickBooks in Logistify stops the order, and the assistant tells you why.
- It can't read QuickBooks data, or get a change into the company file, while QuickBooks is closed on the company's Windows computer.
- It isn't built for company-wide analysis across every record. For that, an exported report is still the better tool.
- It isn't listed in OpenAI's directory yet, so it's added as shown above.
Does Logistify for QuickBooks Desktop Work in Other Assistants?
Yes. It also works in Claude, Microsoft Copilot, Gemini and Perplexity, and in Claude Code and Codex. The QuickBooks Desktop plugin overview lists every tool and links to the setup for each assistant.
