Short answer
To pick, pack and ship orders in Intuit Enterprise Suite, open a sales order with inventory items and select Fulfill items. Assign a worker and select Send to pick. Workers enter quantities or scan item barcodes in a web browser, then select Finish pick. Send the order to pack, print packing slips, enter the carrier and tracking ID, and select Mark all shipped. Create the invoice yourself: quantity on hand drops then, not at shipment.
Before you start
- Your company is in the US. Intuit says Pick, Pack and Ship is available in Intuit Enterprise Suite in the US.
- You have at least one open sales order with inventory items.
- Quantity on hand is tracked for those inventory items.
- A user with sales order access acts as the fulfillment manager.
- Warehouse workers are invited with the Warehouse Worker role. Workers are optional: you can leave an order Unassigned and work it yourself.
Step 1: Invite your warehouse workers
- 1Go to Settings, then Manage Users, then select Add User.
- 2Enter the worker's first name, last name and email address.
- 3For role, select Warehouse Worker.
- 4Select Send Invite. The worker accepts the invite, sets a password and can then open assigned orders in any web browser.
Warehouse Workers see only the orders assigned to them. They can't reach financial data, invoices or customer balances. They work in a web browser on a phone, tablet or computer, with no app to download. To see how this role fits with the others, read how to set up users, roles and permissions.
Step 2: Create a fulfillment order from the sales order
- 1Open a sales order with inventory items, then select Fulfill items.
- 2Or go to Inventory, then Fulfillment, select New fulfillment order, and pick a sales order.
| Item type on the sales order | What happens on the fulfillment order |
|---|---|
| Inventory items | Included. |
| Assembly items | Included. |
| Bundle items | Split into their components. The bundle name becomes a section header, and each component gets its own pick line. |
| Non-inventory and service items | Excluded, with a message explaining why. |
Step 3: Set the pick quantity, serial/lot and sub-location
- 1While the fulfillment order is in Open status, check Pick qty on each line. It defaults to the sales order quantity.
- 2Change the Serial/lot if needed, or split a line across several lots. It carries over from the sales order.
- 3Update the Sub-location if needed. It also carries over from the sales order.
- 4Save. Each save carries your serial/lot and sub-location changes back to the sales order, so the sales order always shows the latest fulfillment plan.
Pick qty locks when you send the order for pick. To change it after that, cancel the fulfillment order. Serial/lot and sub-location stay editable in Ready to pick and In pick, which helps when the planned lot isn't at the bin, and both lock at Ready to pack. If a worker is already picking, saving your changes overwrites their entries.
Step 4: Send the order for pick
- 1Go to Inventory, then Fulfillment. The dashboard lists every fulfillment order with its status, ship date, fulfillment location, customer, mode and assigned worker.
- 2Filter by status, location, ship date, warehouse staff or customer, then select a fulfillment order.
- 3In Assigned to, select the worker who'll pick the order. To work it yourself, leave it set to Unassigned.
- 4Select Send to pick. This allocates the stock so no other order can claim it, and locks the pick quantity. The worker sees the order in their queue right away.
- 5To print a pick list, select Print picklist.
For simple orders, use Express pick-pack: select the dropdown next to Send to pick, then select Send to express pick pack. The assigned worker picks and packs in one session, and the order skips the Picked and Ready to pack statuses.
| Status | What it means |
|---|---|
| Open | Created but not sent for pick. Pick quantity, serial/lot and sub-location are editable. |
| Ready to pick | Sent for pick. Pick quantity is locked; serial/lot and sub-location are still editable. |
| In pick | A worker has started picking. Serial/lot and sub-location are still editable. |
| Picked | Every line is confirmed at full quantity. Express orders skip this status. |
| Partial pick | At least one line is short. Send it to repick, or send it to pack as it is. |
| Ready to pack | Picking is resolved and the order is sent to pack. Serial/lot and sub-location lock. Express orders skip this status. |
| In pack | A worker has started packing. |
| Packed | Every item is in a package. You can print packing slips and send the order to ship. |
| Ready to ship | You're entering the carrier and tracking ID for each package. |
| Partial ship | At least one package has shipped; the rest are still waiting. |
| Shipped | Every package has shipped. The order is ready to invoice. |
| Canceled | The fulfillment order is canceled. The sales order stays open for the remaining quantity. |
Step 5: Pick the order and scan barcodes
- 1The worker opens the assigned order and selects Start pick.
- 2For each line, the worker enters the actual quantity picked or scans the item barcode.
- 3If an item is missing or short, the worker enters the quantity they found and can add a note.
- 4For bundle items, the worker confirms each component separately under the bundle header.
- 5When every line is done, the worker selects Finish pick. The order moves to Picked, or to Partial pick if any line is short.
Step 6: Resolve a short pick
- 1Open the order in Partial pick.
- 2Select Send to pack to continue with the quantity that was picked. The balance stays on the sales order, so you can create a new fulfillment order for it when stock arrives.
- 3Or select Send to repick to assign the remaining quantity. The next worker sees only the lines that aren't confirmed yet.
Short picks stay on the original sales order. IES doesn't create a new sales order for the balance. For what that means for the customer's order, see how to handle partial shipments, short picks and backorders.
Step 7: Pack the order and print packing slips
- 1In Assigned to, select the worker who'll pack the order, then select Send to pack.
- 2The worker selects Start pack and puts items into packages. They can add packages with Manage packages.
- 3The worker can enter the shipping carrier and tracking ID for each package, then selects Finish pack. The order moves to Packed.
- 4Select Print all packing slips. IES creates one PDF for each package.
Each package gets an identifier in the format PKG-[fulfillment order number]-[sequence]. Each packing slip shows the item name, description, quantity shipped, lot number (if you track lots), package identifier and ship-to address. Packing slips don't show pricing, and IES only generates them when you ask.
Step 8: Enter the carrier and tracking, and mark it shipped
- 1When packing is done, select Send to ship. The order moves to Ready to ship.
- 2Enter the shipping carrier for each package.
- 3Enter the tracking ID for each package. Tracking is optional, so you can add it later.
- 4Select Mark all shipped. If only some packages are going out, select the Mark as shipped checkbox for each one instead. The order shows Partial ship until the rest ship.
Step 9: Create the invoice
- 1When you're ready to bill the customer, create the invoice from the sales order. Pick, Pack and Ship never creates invoices for you.
- 2Expect quantity on hand to drop when you create the invoice. It doesn't change when you mark the order shipped.
You can also create the invoice before picking. If you then assign or change a serial/lot number on the fulfillment order, IES warns you to update it on the invoice yourself. For the invoice steps, see how to create a sales order and turn it into an invoice.
If something doesn't look right
- The location column and filter are missing from the dashboard: they're hidden if you don't use multiple locations.
- The Assigned to column and filter are missing: they're hidden until you add warehouse workers.
- A service or non-inventory line didn't come across: those items are excluded from fulfillment orders.
- You can't change Pick qty: it locked when you sent the order for pick. Cancel the fulfillment order; the sales order stays open for the remaining quantity. Canceling releases the allocated quantity right away, and quantity on hand doesn't change.
- You can't edit serial/lot or sub-location: both lock at Ready to pack.
- A worker was reassigned mid-pick and lines went blank: anything they saved stays, but unsaved entries are lost. Reassigning an Express order mid-pack takes it out of Express mode.
- Quantity on hand didn't drop after shipping: that's expected. It only changes when you create the invoice.
Where Intuit Enterprise Suite leaves the work to you
- Invoicing is always manual. Someone has to create each invoice from the sales order.
- Quantity on hand doesn't drop until the invoice exists, so stock counts lag behind shipments until someone invoices.
- Short picks stay on the sales order. Someone has to create a new fulfillment order for the balance when stock arrives.
- The carrier and tracking ID are typed in for each package. Intuit's article doesn't mention buying postage or printing shipping labels, and it doesn't cover printing barcode labels.
- Fulfillment starts from an open sales order. Every customer order has to be entered as a sales order first.
How Logistify helps
Pick, Pack and Ship starts from an open sales order. Logistify's Sales Order Service enters customer orders into Intuit Enterprise Suite as sales orders, whether they arrive by email, PDF, Excel (including .xls), EDI, WhatsApp, SMS, voicemail or paper, so each one is in IES and ready for a fulfillment order. It's a managed service, and a person reviews exceptions. Logistify doesn't choose lots, serial numbers, locations or sub-locations; your team still runs the pick, pack, shipment and invoice in IES.
