Short answer
To connect Shopify to Unleashed, add the eCommerce Hub Shopify add-on, log in to your store as an admin, then go to eCommerce Hub > Shopify > Overview and click Install. To import missing orders, fix the error shown in the Connection Log, go to eCommerce Hub > Shopify > Configure > Manage your Data, enter a date range or Shopify Order Numbers, and click Import. Up to 50 orders go at a time.
Before you start
- Your Unleashed subscription needs the eCommerce Hub Shopify add-on. The Account Owner adds it from Settings > Billing.
- Log in to the Shopify store with an account that has admin rights.
- Make every SKU in Shopify unique and not blank. Unleashed links each Shopify variant to the product whose Product Code matches its SKU.
- You can install up to five Shopify shops. For more, ask Unleashed Support.
- A shop's name can't be edited after install. To rename it, uninstall and reinstall.
Step 1: Install the Shopify shop
- 1In Unleashed, go to eCommerce Hub > Shopify > Overview tab.
- 2Click Install. You're taken to the Shopify app listing.
- 3Click Install, log in to Shopify, then click Install again to grant data access.
- 4Back in Unleashed, refresh the page.
- 5Under Your Shops, select Configure on the shop's tile.
Step 2: Set how orders and products sync
- 1Order Import Options: create a customer for each Shopify order, or use a single customer for all of them.
- 2Shopify Order Status: choose the payment or fulfillment status orders import from. Authorised includes everything after it.
- 3Unleashed Order Status: import as Parked, Placed or Completed. An order set to Completed without enough stock imports as Backordered.
- 4Order Import Date Range: 1 day, 1 week, 1 month (default) or 3 months. Older orders don't import on their own.
- 5Create Missing Products In Unleashed: when on, an unknown SKU creates a new product. When off, that order fails to import.
- 6Product Synchronization: choose Unleashed is Master or Shopify is Master, and which details sync.
- 7Click Save Configuration.
Step 3: Map warehouses and stock
- 1In Manage your Data, click Import under Import Locations from Shopify to Unleashed.
- 2In Inbound Warehouse Mappings, map each Shopify Location to the Unleashed Warehouse its orders should land in, and click Add.
- 3In Stock Configuration, turn on Export Stock On Hand to Shopify and pick how often it runs, from every 15 minutes to every 24 hours.
- 4Under Stock Availability Warehouse Mappings, choose which Unleashed warehouses feed each Shopify location.
- 5In Manage your Products, tick the products that should sync with each shop and click Save Configuration.
The quantity sent to Shopify is Available: stock on hand minus allocated stock, per warehouse. How allocation works is covered in How stock allocation works on sales orders.
Step 4: Import missing orders
- 1Go to eCommerce Hub > Shopify and open the Connection Log tab. Set Log Level to ERROR. Failed orders stay listed for up to 7 days.
- 2Fix the cause first. Orders that failed don't retry on their own once the error is fixed.
- 3Go to eCommerce Hub > Shopify > Configure > Manage your Data.
- 4In the Import Missing Orders section, enter a date range and click Find. Missing orders are listed by Shopify Order Number.
- 5Or type the Shopify Order Numbers, separated by commas or new lines.
- 6Click Import. Check that none of them were already entered by hand, so you don't create duplicates.
- 7Import no more than 50 at a time. Unleashed's articles suggest waiting 10 to 15 minutes between groups.
If something doesn't look right
- The order isn't found at all: cancelled, refunded (even part-refunded) and archived Shopify orders can't be imported.
- 'Shopify product not found': the SKU has no matching product. Turn on Create Missing Products In Unleashed, or create the product, then re-import.
- Duplicate SKU errors: change the duplicate in Shopify, use Remap Product by Code in Manage Your Products, then re-import.
- 'Customer does not have a valid email address': fix the email in Shopify, or switch to a single customer for all Shopify orders.
- 'Tax rate … cannot be found': create the missing rate in your accounting system and sync it, or in Settings > System > Taxes if you don't have one.
- Timeouts such as 'Execution Timeout Expired': too many orders at once. Wait 10 minutes and import in batches of 50 or fewer.
- Duplicate orders: usually two integrations connected to the same store. Disconnect one.
- Stock in Shopify is wrong: check for manual adjustments in Shopify, confirm the product is ticked and Export Stock On Hand to Shopify is on, then use Export Stock on Hand in Manage your Data.
Where Unleashed leaves the work to you
- Watching the Connection Log. It keeps only 7 days, and failed orders don't come back on their own.
- Keeping SKUs unique and unchanged in Shopify. Changing a SKU on an existing product breaks the mapping.
- Remapping products as they change. Unleashed suggests doing it regularly.
- Some orders can't be imported at all, for example when a SKU was deleted or archived first. Unleashed says to enter those with the Import Sales Order template, using the Shopify order number as a reference.
Where Logistify fits
Shopify orders come through Unleashed's own integration, and Logistify doesn't handle them. Logistify's Sales Order Service covers the B2B orders that don't come through a store: orders sent by email, PDF, Excel, EDI, WhatsApp or SMS, entered into Unleashed as sales orders. See Excel, PDF and email purchase orders into Unleashed for how that works for wholesalers.
