Short answer
To import sales quotes in Unleashed, go to Sales > Quotes > Import Quotes, select Download Sales Quote Template, and fill in one row per quote line. Quote Number, Customer Code, Line Number, Product Code and Quote Quantity are required. Upload the CSV on the same page. The import only creates new quotes, in Draft status; it can't update existing ones. Unleashed recommends 1,000 rows or fewer per file.
Before you start
- Sales Quotes is turned on under Settings > Company > Configuration. Sales Quotes need a Core or Pro subscription.
- Every customer you quote exists as a customer record, and every product exists in your inventory.
- The Quote Numbers in your file aren't already used, including by deleted quotes.
- Your user role has the Import Sales Quote permission. To edit the quotes after import, it also needs Sales Quote.
- Use Unleashed's own template. Don't build your own file or rename its column headers.
Step 1: Download the template
- 1From the main menu, go to Sales > Quotes > Import Quotes.
- 2Select Download Sales Quote Template.
Step 2: Fill in the required columns
- 1Add one row per quote line, using the Line Number column to number the lines of each quote.
- 2Enter the Quote Number, including your quote prefix.
- 3Enter the Customer Code exactly as it appears on the customer record.
- 4Number the lines of each quote in order in Line Number.
- 5Enter the Product Code and the Quote Quantity for each line.
Step 3: Add the optional details you need
| Column | What to enter |
|---|---|
| Unit Price | A price that overrides the customer's pricing. Leave it blank to apply Customer Pricing, Quantity Pricing, the Sell Price Tier or the default sell price. |
| Quote Date, Quote Expiry Date | DD/MM/YYYY or MM/DD/YYYY, whichever your Company settings use. |
| Tax Rate | A decimal, so 20% is 0.2. Leave it blank if the customer isn't taxable. |
| Warehouse Code | The warehouse the stock would ship from if the quote becomes an order. |
| Discount (%), Line Discount (%) | A discount for the whole quote or for one line. |
| Customer Reference, Comments, Line Comments | Free text. |
| Sales Person Email | The email address of the sales person on the quote. |
| Delivery columns | Delivery Contact, Delivery Name, street address, Delivery Suburb, City, Region, Post Code, Country and Delivery Instruction. |
Step 4: Save and upload
- 1Save the file as CSV with UTF-8 encoding. Keep every column, even the ones you didn't fill in.
- 2Check that long numbers haven't turned into scientific notation, such as 3.4E+12. Format those columns as text.
- 3Go back to Sales > Quotes > Import Quotes and upload the CSV in the upload tile.
- 4Watch the task manager icon: an orange circle means the import is running, a green tick means it worked, and a red cross means it failed.
- 5Check your email. Unleashed sends a report confirming the import or explaining why it failed.
Step 5: Review and send the quotes
- 1Go to Sales > Quotes > View Quotes and filter Quote Status to Draft.
- 2Open each quote, check the lines and prices, then email it and set it to Pending.
If something doesn't look right
- Mandatory fields missing: every column marked with an asterisk needs a value.
- Date errors: check the date format matches your Company settings.
- Header errors: a column was renamed or deleted. Start again from a fresh template.
- Random characters in cell A1: delete anything before the asterisk.
- Duplicate transaction numbers: each Quote Number must be new.
- Slow import: split the file into files of 1,000 rows or fewer and upload them one at a time.
- Once an upload starts, it can't be cancelled. A stuck import times out after 24 hours.
- A successful import can't be undone. Keep a copy of your file.
Where Unleashed leaves the work to you
- Customers send quote requests in their own formats. Someone has to copy each one into the template.
- Customer Codes and Product Codes must match Unleashed exactly, so a customer's own part numbers need translating first.
- The import only creates quotes. Each one still needs checking, sending and following up.
How Logistify helps
For quote requests that arrive by email, PDF, Excel, EDI, WhatsApp, SMS or voicemail, Logistify's Sales Order Service creates the sales quotes in Unleashed, so your team doesn't fill in a template for them. A person reviews anything that doesn't match. To finish a quote and turn it into an order, see How to create a sales quote and convert it to a sales order. For customer orders sent as spreadsheets, see our post on Excel, PDF and email orders into Unleashed.
