How a Pipe, Valve and Fittings Distributor Can Automate PDF Orders, Quotes and Estimates in QuickBooks Desktop

TLDR

A pipe, valve and fittings wholesaler near Los Angeles asked us whether AI can turn customer PDF purchase orders and Excel files into QuickBooks Desktop sales orders, and handle quotes and estimates too. It can. QuickBooks Desktop can't import sales orders from a PDF or Excel file by itself, so most teams retype them. Logistify reads each order, matches every line to your item list, creates the sales order or estimate, and holds unclear orders for your team.

The question

A wholesale supplier of pipe, valves and fittings (PVF) in the Los Angeles area of California, USA, that runs QuickBooks Desktop sent us this through our contact form:

"We are looking to automate repetitive office and order-processing workflows, including extracting data from customer PDF purchase orders and converting it into importable Sales Orders for QuickBooks Desktop, processing Excel files, managing emails, creating quotes and estimates, validating order information, and handling data entry."— A wholesale supplier of pipe, valves and fittings in California, USA

Most PVF distributors will recognise that list. Here is what each part takes in QuickBooks Desktop today, and what Logistify does with it.

Why PVF orders are slow to key

  • Orders are long: one job can need dozens of fittings, nipples, valves and hangers.
  • Every line carries several specs at once: size, material (black iron, galvanized, brass, copper or PVC), end connection (threaded, socket weld or grooved) and schedule or pressure class.
  • Customers describe the same part their own way, or use their own part numbers, while QuickBooks needs your item.
  • Many requests start as a quote rather than an order, and the estimate becomes a sales order later.

Can QuickBooks Desktop import sales orders from a PDF or Excel file?

No. QuickBooks Desktop can't read a PDF, its IIF import doesn't include sales orders, and its Excel import covers lists only, so "importable sales orders" needs a third-party tool. Import tools such as SaaSAnt Transactions and Zed Axis import sales orders from a spreadsheet in their own layout, but someone still has to rebuild each customer's PDF or Excel order in that layout first.

How Logistify handles it

  1. 1Orders and quote requests reach Logistify by email: the message itself and its PDF, Word, Excel or CSV attachments. Scans, photos, WhatsApp, SMS, voicemail and EDI work too.
  2. 2Logistify reads each line, including the size, material and connection a customer writes in, and matches it to your QuickBooks items using your item list and that customer's past orders.
  3. 3An unmatched product, a price that doesn't add up or an unusual quantity holds the order for your team, with the reason.
  4. 4Orders with no open question become sales orders in QuickBooks Desktop, and quote requests become estimates.
  5. 5The customer gets a reply saying the order was received, on the channel they used.

Logistify is a managed service: it sets up the product matching from your item list and keeps it tuned, and your team handles only the orders it flags. When a customer accepts a quote, the estimate becomes a sales order the usual way, which our guide on turning an estimate into a sales order covers. What Logistify doesn't do

  • It doesn't read faxed orders.
  • On QuickBooks Desktop sales orders it doesn't set price levels, inventory sites, or lot or serial numbers.

How to try it

  1. 1Forward a week of real orders, including the PDFs, the Excel files and the quote requests.
  2. 2Logistify sets up product matching from your QuickBooks item list and each customer's past orders.
  3. 3Run the 30-day pilot ($1,000, up to 150 completed tasks) while your team keeps its current process, and compare the sales orders and estimates side by side.
  4. 4Keep going on Core or Business if it works; the pilot fee is credited if you sign an annual plan within 14 days.
