How a Tableware Manufacturer on Tally Can Check a Distributor's Outstanding Before Dispatch, and See What Each Distributor Isn't Buying

TLDR

A melamine and ceramic tableware manufacturer in Gujarat, India, on Tally asked whether each distributor order should be dispatched given what that distributor owes, and which items each distributor isn't buying. TallyPrime only warns when a sales order goes over a party's credit limit. Logistify holds a distributor's order before it reaches Tally when the distributor is over its credit limit or has an overdue balance, and sends a recurring report of the items each distributor isn't buying.

The question

A manufacturer of melamine and ceramic tableware in Gujarat, India, sent us this through our contact form:

"We are mfg company based in india. we use tally erp as of now for our accounting. i wanted to know if this can help me manage my dispatches and outstanding of distributors. if i give distributor ledger so whenever i am receiving the order i should know whether to despatch the material or not. secondly will it analyse what items the distributor is buying and what they are not buying from us? so if it does all this then i would like to try a demo and use it for a month by feeding the data manually and see how things go."— A manufacturer of melamine and ceramic tableware in Gujarat, India

Two questions, both common for manufacturers that sell through distributors on credit: should this order be dispatched, given what the distributor already owes? And which of our items is each distributor not buying?

What TallyPrime does on its own

QuestionTallyPrime on its ownWith Logistify
Is this distributor over its credit limit? You set a credit limit on the party ledger. A sales order over the limit shows a warning, and you can press Enter and save it anyway. The order is held before it goes into Tally, with the reason, until a person decides
Does this distributor have overdue bills? With bill-by-bill tracking and credit days checking on, Tally helps you spot a party's outstanding bills when you create a voucher. An order from a distributor with an overdue balance is held the same way
What has this distributor bought?Ledger Analysis shows the quantities and rates sold to one party. Each new order is matched against that distributor's past orders
What isn't this distributor buying? We found no report that lists it; you compare a party's Ledger Analysis with your item list by hand.A recurring report of the items each distributor isn't buying

The key line is in TallyHelp's sales FAQ: you can record a sales order even if it exceeds the credit limit set for a party. A warning appears, and pressing Enter saves the order. So the credit limit doesn't stop an order from being booked, and the goods can be picked against it before anyone looks at what the distributor owes.

How Logistify handles the dispatch decision

  1. 1Distributors send orders the way they do today: WhatsApp messages and photos, email, PDF or Excel.
  2. 2Logistify reads each order and matches every line to your Tally stock items, using that distributor's past orders.
  3. 3Before anything goes into Tally, it checks the distributor. An order from a distributor over its credit limit or with an overdue balance is held for a person, with the reason. So is an order with an item it can't match, a price that doesn't add up, or an unusual quantity.
  4. 4Orders that pass go into TallyPrime as Sales Order vouchers, so dispatch works from orders that have already cleared the credit check.
  5. 5A person decides on each held order: ship it, change it, or wait for payment.

Logistify is a managed service: it sets up the item matching from your Tally data and keeps it tuned, and your team only sees the orders that need a decision.

Seeing what each distributor isn't buying

Logistify sends a recurring report of the items each distributor isn't buying from you. Your sales team can use it to follow up on gaps, such as a distributor that takes your dinner sets but none of your serveware, instead of building that comparison by hand from Tally's party reports.

Trying it for a month

The manufacturer wanted to try it for a month. Logistify's pilot runs one workflow on your own orders for 30 days, covers up to 150 completed tasks, and costs $1,000, credited toward an annual Core or Business plan signed within 14 days of the pilot ending. Distributor orders that arrive on WhatsApp need the Business plan or above; Core takes orders by email only.

What Logistify doesn't do

  • It doesn't read WhatsApp voice notes; typed messages, photos and attachments are fine.
  • It doesn't read faxed orders.
