AI Order Entry vs Hiring an Order Entry Clerk: Cost Compared (2026)

Who should choose which

A median US order clerk earns $46,170 a year (Bureau of Labor Statistics, May 2025). Wages are about 69% of what private employers pay for office and administrative staff once benefits are counted, so a full-time clerk costs roughly $67,000 a year. Logistify AI's Core plan costs $5,988 a year billed annually, for about 25 orders a day taken in by email. Hire when the job is mostly phone calls, judgment and customer relationships. Automate the typing so the people you have spend their time on those.

How we worked out the cost of a clerk

The Bureau of Labor Statistics puts the median wage for order clerks at $22.20 an hour, or $46,170 a year, in May 2025. Its June 2026 Employer Costs for Employee Compensation release shows wages are 68.7% of total compensation for office and administrative support workers in private industry, with benefits making up the rest. Dividing $46,170 by 0.687 gives about $67,200 a year. That estimate leaves out recruiting, training, overtime and the software the clerk uses.

What a clerk does that Logistify doesn't

  • Takes orders in a live phone conversation and negotiates substitutions, dates and prices.
  • Makes credit and customer-relationship calls that depend on knowing the account.
  • Fixes problems across systems that aren't connected, and handles one-off requests.

What changes when Logistify does the typing

  • Orders from email, PDFs, spreadsheets, WhatsApp, SMS and voicemail are entered as sales orders without anyone retyping them.
  • Products are matched using each customer's past orders, then your full item list.
  • Orders with an unmatched product, a price that doesn't add up, or an unusual quantity wait for your team with the reason.
  • On QuickBooks Desktop, the same service can also record customer payments and follow up with suppliers.

The Bureau of Labor Statistics projects order clerk jobs to fall 17% from 2025 to 2035, as online ordering and self-service limit demand for the role. The people you have are usually more valuable on customers and exceptions than on keying orders.

Logistify enters customer orders as sales orders, and on QuickBooks Desktop the same service can also record customer payments against open invoices and follow up with suppliers on open purchase orders.

How to try it before you hire

  1. 1Pick one workflow, usually orders that arrive by email for one ERP company file.
  2. 2Forward a week of real orders, including the messy ones, so product matching is set up from your catalog and each customer's past orders.
  3. 3Run the 30-day pilot ($1,000, up to 150 completed tasks) while your current process keeps running, and compare the orders side by side.
  4. 4Keep going on Core or Business if it works; the pilot fee is credited if you sign an annual plan within 14 days.

Who should choose which

  • Most orders come by phone and need conversation, or the role is mostly customer service: hire.
  • Most orders arrive as emails, PDFs, spreadsheets or messages and someone retypes them: automate the entry, and keep your people for exceptions and customers.
  • Volume is growing faster than you can hire: start with a 30-day pilot on one channel.
