How to Export QuickBooks Desktop Reports and Analyze Them in ChatGPT or Claude
- Applies to
- QuickBooks Desktop Enterprise, Premier and Pro
- Steps checked against
- Intuit's QuickBooks Desktop help articles and Anthropic/OpenAI documentation, checked October 2026
Short answer
Open the report in QuickBooks Desktop, select Customize Report, and set the dates and the accrual or cash basis. Export it from the Excel button at the top of the report as an Excel workbook or a CSV file. Delete what your company doesn't allow outside its systems, then upload the file to ChatGPT or Claude on an approved plan. The file is a snapshot as of the export, so ask the assistant to run code and check its answers against QuickBooks.
Before you start
- Check your company's rules on putting financial data into AI tools, and ask IT which plan, if any, is approved.
- Know what your plan's vendor says about training. Anthropic says it doesn't use inputs from its commercial products, such as Claude for Work, to train models by default. On Claude Free, Pro and Max, it depends on your privacy settings.
- OpenAI says it doesn't use content from its business offerings, such as ChatGPT Enterprise and the API, to improve its models. On other plans, check your data controls.
- The assistant only sees the file you upload. It can't open your company file or check its answers against QuickBooks.
- These steps are for QuickBooks Desktop for Windows. On a Mac, open the report and select Export.
Which reports to export
Pick the report that answers your question. Export a detail report when you want the assistant to work line by line. These standard QuickBooks Desktop reports are a good place to start:
- A/R Aging Detail (Reports > Customers & Receivables): which invoices are past due, and by how long.
- Open Invoices (Reports > Customers & Receivables): every unpaid invoice with its open balance.
- Inventory Valuation Summary (Reports > Inventory): the value of the stock you hold, item by item.
- Sales by Customer and Sales by Item reports: what sold, and to whom.
- Balance Sheet Standard (Reports > Company & Financial) and Profit and Loss: the financial statements.
- Custom Summary or Custom Transaction Detail (Reports > Custom Reports) when no standard report fits.
Any QuickBooks Desktop report can be exported. If you can't find the one you want, go to Reports > Reports Center and search for it.
Step 1: Set the dates, basis and columns
- 1Open the report from the Reports menu or from Reports > Reports Center.
- 2Select Customize Report. On the Display tab, pick a range from the Dates list, or enter From and To dates. Leaving From empty gives you all data up to the To date.
- 3Under Report Basis, choose Accrual or Cash. Use the basis your accountant uses for the numbers you'll compare against.
- 4For aging and open balance reports, select Advanced and check Open Balance/Aging. Report Date shows balances as of the report date. Current shows them as of today.
- 5In the Columns list, keep only the columns your question needs. Fewer columns means less to strip later.
- 6On the Filters tab, narrow the report if you can, for example to one customer, item or account.
- 7Select OK. If you'll run this report again, select Memorize so QuickBooks saves the settings.
Watch the basis. Run from the Reports menu, a detail report starts on accrual basis. Summary reports follow the default set in Edit > Preferences > Reports & Graphs > Company Preferences. Since QuickBooks 2018 you can flip an open report between cash and accrual. Close it, and the basis resets to the default.
Step 2: Export to Excel or CSV
- 1With the report open, select the Excel drop-down at the top of the report, then Create New Worksheet.
- 2Create New Worksheet sends the report to a new Excel workbook. For a CSV file instead, select Create a comma separated values (.csv) file in the Send Report to Excel window.
- 3If QuickBooks says the report has too many columns, select Advanced, clear Space between columns, then select OK.
- 4Select Export or OK, name the file, and save it in a folder only your team can reach.
CSV is the simpler choice. It's a plain text file with one table, so there are no hidden sheets or formatting for the assistant to trip over. Claude accepts CSV files, and XLSX files only when code execution and file creation is turned on in your settings. ChatGPT accepts XLSX, XLS, CSV and TSV files.
Step 3: Strip what shouldn't leave your systems
Open the file in Excel before you upload it. Delete anything your policy doesn't allow outside the company, and anything the question doesn't need.
- Bank account and credit card numbers, and any employee data such as pay rates or Social Security numbers.
- Customer contact details: email addresses, phone numbers and street addresses. Keep the customer name, or swap it for an ID if your rules require it.
- Memo and note columns. They often hold free text that nobody has checked.
- The report title, company name and blank rows at the top. Keep one header row with clear column names and one record per row, as OpenAI recommends for spreadsheets.
- Total and subtotal rows, if you want the assistant to work out totals itself without counting them twice.
If you replace customer names with IDs, keep the lookup table on your own computer. You can map the answers back yourself.
Step 4: Upload the file and ask
- 1In Claude, select the + button in the chat box, choose Add files or photos, and pick the file. In ChatGPT, attach the file to the conversation.
- 2Say what the file is: the report name, the date range, the basis, and what one row stands for.
- 3Ask one specific question at a time.
- 4Ask the assistant to use code on the file rather than estimate, and to show the code it ran.
- 5Ask for the rows behind every number, so you can find them in QuickBooks.
A sample prompt
Here's a prompt you can adapt for an A/R Aging Detail export:
"This file is an A/R Aging Detail report from QuickBooks Desktop, run on October 17, 2026. It uses accrual basis, with open balances as of the report date. Each row is one open invoice. Use code, not estimates. 1) Total the open balance by customer and by aging column. 2) List every invoice more than 60 days past due, largest first. 3) Flag customers whose past-due total is over $10,000. Show the code you ran, and list any rows you couldn't read or that look like subtotals."
What a snapshot can't tell you
- Anything that happened after the export. A payment entered an hour later isn't in the file.
- Anything outside the columns you exported. The assistant can't open the invoice, the customer record or the history behind a number.
- Whether its own answer is right. Assistants can misread a column or a layout. Check any figure against the report in QuickBooks before you use it.
- The whole file, every time. OpenAI warns that a file can upload successfully and still be only partly analyzed. If results look incomplete, point the assistant to specific rows or split the file.
Nothing the assistant suggests reaches QuickBooks until someone enters it. Upload limits also differ by product and plan, so check Anthropic's and OpenAI's help pages for the current limits.
In Excel, the QuickBooks tab has an Update Report button that refreshes an exported workbook while your company file is open. You'd still need to upload the refreshed file again.
Where QuickBooks Desktop leaves the work to you
- Someone has to run, customize and export the report each time. A memorized report saves the settings, not the effort.
- Someone has to strip each file and keep track of which version was shared.
- Someone has to act on the answer: send the reminder, record the payment, place the order.

How Logistify helps
An export answers a question. It doesn't do the work. Logistify is a managed service that does some of that work in QuickBooks Desktop. The Accounts Receivable Service matches customer payments in your bank file to the open invoices they pay and records them. The Sales Order Service enters customer orders that arrive by email, PDF or paper as sales orders, with a person reviewing exceptions.
