Short answer
To create a drop ship order in Unleashed, create a Sales Order assigned to a dedicated Drop Ship warehouse, then select Create Purchase from the order's Order drop-down to raise a Purchase Order to the supplier. Set the Purchase Order's delivery address to the customer's and mark it Placed. When the supplier delivers, receipt and complete the Purchase Order, then complete the Sales Order straight away.
Before you start
- In a drop ship, your supplier delivers straight to your customer. You never hold the stock, but you record both the sale and the purchase.
- Unleashed's method uses a separate Drop Ship warehouse. Unleashed's US pricing page, the only one that lists the Lite plan, marks Multi-Warehouse Management as Core and Pro only (checked 23 October 2026).
- The customer, the supplier and the products must already exist in Unleashed.
Step 1: Create a Drop Ship warehouse (once)
- 1From the main menu, go to Settings > System > Warehouses.
- 2Select Add Warehouse.
- 3Enter a Warehouse Code and Name that mark it as your drop ship warehouse.
- 4Click Save.
Step 2: Create the sales order
- 1Go to Sales > Orders > Add Sales Order.
- 2Search for the customer by Customer Code or Customer Name. The order is created in Parked status.
- 3In the Order Warehouse drop-down, choose the Drop Ship warehouse.
- 4Add the products, quantities, prices and other details.
Step 3: Create the purchase order from the sales order
- 1In the Sales Order, open the Order drop-down and select Create Purchase.
- 2Confirm or enter the Supplier and Purchase Qty for each line, then select Create Purchase.
- 3Unleashed creates a Parked Purchase Order for each supplier.
- 4In each Purchase Order, click the magnifying glass next to the Delivery Address field and choose the customer's delivery address.
- 5Set the Purchase Order to Placed and send it to the supplier.
Each sales order line now shows a hand-truck icon; hover over it to see the purchase order. Each purchase order shows the sales order in its Sales Order No. field.
Step 4: Complete both orders when the supplier delivers
- 1Open the Purchase Order and click Receipt. The stock is receipted into the Drop Ship warehouse.
- 2Enter the quantities delivered to your customer in each Receipt Quantity field.
- 3Click Complete, or Receipt if you still have costs to add.
- 4Once every supplier has delivered, open the Sales Order and click Complete.
Unleashed's advice: because drop ship products are never really on hand, complete the sales order as soon as the purchase order is receipted and completed.
If something doesn't look right
- The purchase order went to the wrong supplier: you may not be able to reassign it. Delete the linked lines on the sales order and re-add them, then create a new purchase order.
- The wrong purchase order is still Parked and not receipted: you can delete it.
- A purchase order was receipted with the wrong quantities or prices: use a Supplier Return against it, then create a new purchase order.
Where Unleashed leaves the work to you
- Getting the supplier to confirm a ship date and quantity.
- Finding out when the supplier has delivered, so you can receipt and complete.
- Keeping the customer told about a delivery you don't handle.
How Logistify helps
Logistify's Sales Order Service enters the customer's order into Unleashed as a sales order. It doesn't choose the warehouse, so assigning the Drop Ship warehouse and creating the purchase order stay with your team. Once the purchase order is open, the Procurement Service follows up with the supplier and captures the confirmed date and quantity. If the supplier can't ship everything, see How to manage backorders.
