Short answer
To see sales margins by product and customer in Unleashed, go to Reports > Sales > Margin Enquiry, set Date From and Date To, add filters such as Customer Name or Product Code, and click Run. It lists completed Sales Orders and Credits with Cost, Sell, Profit and Margin per line. Profit is the sale price less Average Landed Cost at dispatch. Drag a column header into the grey area above the grid to group results.
Before you start
- The Margin Enquiry only includes completed Sales Orders and Credits. Date From and Date To filter by the completed date.
- It opens with last month's dates filled in. Click Run after every filter change.
- Profit and margin are tax-exclusive. They use the sale price after discounts when the Invoice completes, and the Average Landed Cost when the Shipment was dispatched.
- Delivery or freight charges on a Sales Order don't change profit or margin. They only affect revenue, turnover and order totals.
- For assembled products, the margin updates only after the assembly is completed.
- Your role needs the Margin Enquiry permission. Other margin fields, such as Sales Order: Margin and View Sales Orders: Margin, are separate permissions.
Step 1: Run the Margin Enquiry
- 1Go to Reports > Sales > Margin Enquiry.
- 2Set Date From and Date To.
- 3Add filters if you need them: Customer Name or Customer Code for one customer, Product Code or Product Group for products, Warehouse, Sell Price Tier, Customer Type or Sales Person.
- 4Click Run.
- 5To keep a copy, use Export and choose PDF, CSV or XLSX.
| Column | How Unleashed calculates it |
|---|---|
| Cost | Quantity x Average Landed Cost (ALC) |
| Sell | Quantity x Discount Price (or Credit Price for a Credit) |
| Charge | The charge value from the Sales Order |
| Profit | Sell - Cost |
| Margin | (Profit / Sell) x 100% |
Step 2: Group the results by customer or product
- 1Drag a column header, such as Customer or Product Code, into the grey area above the grid. The results group by that field.
- 2Add more grouping levels if you want, for example customer then product. Use the + and - icons to expand or collapse groups.
- 3For extra fields, click Show Toolbar, then Hidden Columns, and drag a column into the grid. Hidden columns include Customer Code, Product Group, Product Sub Group, Product Brand, Sales Person and Type (customer type).
- 4Click a column header to sort. The first click sorts descending, the second ascending.
Step 3: Read the totals
- Total Profit: the combined profit of all the results.
- Overall Margin: the average margin percentage of all transactions in the results.
- Total Sell and Total Cost: the combined sale price and cost.
- Total Charge and Total Turnover: charges, and total revenue for all Sales Orders.
- Transaction Count and Total Quantity: how many transactions and units the results cover.
Step 4: Save the layout for next time
- 1Click the Show Toolbar tab and select New.
- 2Enter a unique name for the layout and click Add.
- 3To open it by default, select it in the Grid Layout drop-down menu, tick Default and click Save.
- 4To share it with other users, select it, tick Shared and click Save.
Step 5: Work out commission by sales person (optional)
- 1In the Margin Enquiry, set the date range for the pay period.
- 2For one person, pick them in the Sales Person drop-down and click Run, then use the footer totals.
- 3For everyone, click Run without a sales person, then drag the Sales Person column from Show Toolbar > Hidden Columns into the grey area. Each group shows its own Quantity, Cost, Sell Price, Charges, Profit and Margin.
- 4Export the grouped results to CSV to calculate commission.
Open Sales Orders and Quotes also show a margin per line, using each product's current cost. Margins depend on the price on the order, so set customer prices up first: see How to set up sell price tiers and customer pricing in Unleashed.
If something doesn't look right
- A 100% margin: the product's Average Landed Cost is 0, usually because it had no stock on hand or wasn't costed, assembled or receipted correctly. For a Never Diminishing Product, check that Last Cost or Nominal Cost isn't missing or 0.
- A negative margin: the Average Landed Cost is above the sale price. This often happens when delivery charges on a Purchase Order raise the cost. Adding a delivery charge to the Sales Order won't fix it.
- An order is missing: it isn't completed yet, or its completed date is outside Date From and Date To.
- A wrong margin on an open Sales Order or Quote: remove the line, update the cost with a Stock Revaluation or Stock Adjustment, then add the line back.
- A wrong margin on a completed order: changing the cost now won't change it. Unleashed suggests crediting the order and processing it again with the corrected cost.
- A product with no stock shows an advisory margin based on Last Cost. It's recalculated when the product is dispatched.
Where Unleashed leaves the work to you
- Margins only reach the report once orders are completed. Orders left open after dispatch leave gaps.
- Margins are only as accurate as your Average Landed Cost, which depends on receipting and landed costs being entered correctly.
- Unleashed reports the margin. Deciding which customers or products need a price change is up to you.
- Commission rules aren't set in the report. You export the totals and apply your own structure.
How Logistify helps
Logistify doesn't run margin reports. The Sales Order Service enters customer orders into Unleashed as sales orders and prices each line at the buyer's price when the order states one, otherwise at the customer's Unleashed sell price tier. A person reviews held orders before they go in, and your own staff can review them in the Logistify app. For more on order entry, see Excel, PDF and email purchase orders into Unleashed.
