How to Build Assemblies and Sub-Assemblies in Unleashed

Short answer
To build an assembly in Unleashed, go to Production > Assemblies > Add Assembly and select the assembled product. The Assembly opens in Parked status, with components filled in from the product's BOM. Check the Source Warehouse, Destination Warehouse, Assembled Quantity and component lines, then select Complete. For components you also make, click the blue plus icon on the Assembly Line to create a Sub-Assembly, and complete it before the parent.
Before you start
- Assemblies and bills of materials are part of Unleashed's Production & Manufacturing module. Unleashed's pricing pages list it as free on Unleashed Pro and an optional module on Unleashed Core: £49 a month in the UK, A$69 in Australia, NZ$69 in New Zealand and US$69 in the US, excluding applicable taxes (checked 23 October 2026).
- The product being built needs "Assembled Product" turned on under Type in its Details tab. Each part needs "Component Product".
- A component you also make needs both "Assembled Product" and "Component Product" turned on before you can create a Sub-Assembly for it.
- Your user role needs the Assembly Details, Assembly Durations, Assembly Import and View Assemblies permissions.
- Set up a bill of materials if you build the same product repeatedly. Without one, the Assembly opens with no components and you add them by hand.
- All component stock must be available in one Source Warehouse. An Assembly can't pull from several warehouses.
To set up the recipe first, see How to create a bill of materials. To move components into the Source Warehouse, see How to transfer stock between warehouses.
Step 1: Create the Assembly
- 1From the main menu, go to Production > Assemblies > Add Assembly.
- 2Use the Product Code and Product Description fields, or the magnifying glass icon, to select the product being assembled.
- 3Unleashed creates the Assembly in Parked status with an auto-generated Assembly Number.
- 4Other ways in: from the product's record (the drop-down on the Product button > Create Assembly), from its BOM (the drop-down on the Add button > Add Assembly), from a Sales Order's Order Lines (action cog > Create Assembly), from the Reorder Report (action cog > Create Assembly), or by importing a CSV in Production > Import/Export.
Step 2: Check the Assembly details
- 1Set the Source Warehouse, where component stock is taken from.
- 2Set the Destination Warehouse, where the finished stock goes.
- 3Enter the Assembled Quantity. Component quantities recalculate from it.
- 4Check Can Assemble Quantity, the read-only figure showing how many units the Source Warehouse's component stock can build. Can Assemble Quantity (All Levels) includes sub-components.
- 5Set the Assemble By date. With an Expected Duration, Unleashed suggests an Estimated Start Date.
Step 3: Adjust the Assembly Lines
- 1Open the Assembly Lines tab. While the Assembly is Parked, you can change components, quantities and costs. Changes don't alter the BOM.
- 2To add a part, select it in the Component Product field, enter the total Quantity for this Assembly and any Wastage Qty, then click Add.
- 3To remove a line, hover over its action cog and select Delete.
- 4For batch-tracked or serialized components, click the Batch or Serial field on the line and assign numbers from the Source Warehouse's stock. The fraction turns green when every unit, including wastage, is assigned.
- 5If the finished product is batch-tracked or serialized, add its new numbers in the Batch Numbers or Serial Numbers tab. The Assembly can't be completed until that tab's fraction is green.
- 6Record any by-products in the By-Products tab, and outside charges in the Supplier Costs tab.
Step 4: Create Sub-Assemblies for components you make
- 1Open the parent Assembly and go to Assembly Lines.
- 2For one component, click the blue plus icon in its Component Product field. If the component has a BOM, set the Source and Destination Warehouses and Assembled Quantity, then click Create Sub-Assembly. Without a BOM, an empty Parked Sub-Assembly is created for you to fill in.
- 3For all of them at once, hover over the action cog in the Component Product column header and select Create All Auto Sub Assemblies. This skips any component whose BOM has Can Auto Assemble turned off.
- 4Open a Sub-Assembly from the orange exclamation point icon on its line. Sub-Assemblies show a Parent Assembly field linking back.
Step 5: Complete Sub-Assemblies, then the parent
- 1Complete each Sub-Assembly first: from the parent's line action cog (Complete Sub Assembly), from the Sub-Assembly itself, or from View Assemblies.
- 2When a Sub-Assembly is complete, its icon on the parent turns into a green tick.
- 3Open the parent Assembly and select Complete. Unleashed takes the components (plus wastage) out of the Source Warehouse and adds the Assembled Quantity to the Destination Warehouse.
- 4Completing the parent doesn't complete its Sub-Assemblies, and completing a Sub-Assembly doesn't complete the parent.
Step 6: Track open Assemblies on the Assembly Kanban (optional)
- 1Create at least one custom status in Settings > System > Assembly Statuses, for example one per production stage. The Kanban needs at least one.
- 2Go to Production > Assemblies > Assembly Kanban. Each open Assembly is a card in the column for its status.
- 3Drag a card to another column to change its status. Click a card to open the Assembly and complete it.
- 4Use Edit Layout to choose columns, sort order and card content, and to save, share or set a default layout.
- 5Users need the "Assembly Kanban" permission to view the board and the "Assemblies" permission to move cards.
If something doesn't look right
- You can't create an Assembly for a product: "Assembled Product" isn't turned on in its Details tab.
- The Assembly won't complete though you have the stock: the components aren't available in the Source Warehouse. Transfer them there first.
- The Assembly won't complete with stock from a receipted purchase order: the order's final cost isn't set until it is completed. An account setting, "Use Receipted Stock In Assemblies", allows it.
- The parent won't complete: one or more Sub-Assemblies are still open. The error message names them.
- You changed the parent's quantity and the Sub-Assemblies didn't follow: Sub-Assembly quantities don't change with the parent. Update each one.
- Component quantities look wrong after changing the Assembled Quantity: a manually edited line keeps its edited ratio. Fix the line or delete the Assembly and create a new one from the BOM.
- No cards on the Assembly Kanban: there is no custom Assembly Status. Completed Assemblies and Disassemblies never show on the board.
Where Unleashed leaves the work to you
- Once complete, an Assembly can't be edited, reversed or deleted, so someone has to check it before selecting Complete.
- Sub-Assemblies are never created automatically from a parent Assembly, even when the component's BOM allows auto-assembly. Someone has to create and complete them.
- Deleting a parent Assembly leaves its Sub-Assemblies open. They have to be deleted separately.
- Batch and serial numbers have to be assigned on every batch-tracked or serialized line before completion.
- Component stock in the wrong warehouse has to be moved before the job can finish.
Where Logistify fits
Logistify doesn't create, edit or complete assemblies in Unleashed. Its Sales Order Service enters customer orders into Unleashed as sales orders, so the demand is in Unleashed without anyone retyping it. To build to order automatically from those sales orders, see How to build to order with auto-assemblies.
