Short answer
To transfer stock between warehouses in Unleashed, go to Inventory > Transactions > Warehouse Transfers and click Add. Select the Source and Destination warehouses, add each product and quantity, assign any batch or serial numbers, then click Complete. Stock leaves the source and arrives at the destination straight away. For one product, use Quick Transfer on its record. Warehouse Transfers need at least two warehouses and the Core or Pro plan.
Before you start
- Warehouse Transfers aren't supported on Lite. You need Core or Pro.
- You need at least two warehouses, set up under Settings > System > Warehouses.
- Your role needs "View Warehouse Stock Transfers" and "Warehouse Stock Transfers". To import transfers, it also needs "Warehouse Stock Transfer Import".
- A user without Has Access on a warehouse (in its User Access settings) can't create, open or complete transfers where that warehouse is the source.
Step 1: Create the transfer
- 1Go to Inventory > Transactions > Warehouse Transfers and click Add.
- 2Select the Source warehouse (where stock comes from) and the Destination warehouse.
- 3Add any notes in Comments, and pick a Template if you print or email transfers.
Step 2: Add Transfer Lines
- 1Search for the product in the Product field.
- 2Enter the Quantity in base units.
- 3Add a comment if needed and click Add. The transfer gets a number and Parked status, and Source and Destination are locked.
- 4To scan instead, click the barcode icon in the top right and scan products one at a time or with Multi Scan.
- 5For batch-tracked or serial-numbered products, click the Batch or Serial field and choose from what's in the source warehouse. Select Oldest assigns the oldest numbers for you.
Step 3: Complete the transfer
- 1Optionally move the transfer to Placed to confirm it.
- 2Click Complete. The source warehouse's stock goes down and the destination's goes up by the transfer quantity.
- 3Print or email the transfer to the source or destination contact if your warehouses need a copy.
Other ways to create transfers
- Quick Transfer: open the product record, go to the Inventory tab, click Quick Transfer, choose Source Warehouse, Destination Warehouse and Transfer Quantity, then click Transfer. It's created and completed at once and can't be edited.
- From the Reorder Report: go to Reports > Purchases > Reorder Report, set the Order Warehouse to the destination, run it, tick the products, and choose Create Transfer from the action cog. The quantity comes from the Suggested Replenishment. Pick the Source Warehouse, then click Create Transfer; it's created as Parked.
- Import from CSV: on the Warehouse Transfers page select Import, then Download Warehouse Transfers Template File. Fill in Transfer Number, Source Warehouse Code, Destination Warehouse Code, Product Code and Transfer Quantity, then upload it. Put the Transfer Number only on the first line of each transfer. Imported transfers are created as Parked.
If something doesn't look right
- The transfer won't complete: there isn't enough stock in the source warehouse. It stays Parked.
- "Stock isn't available" even though stock exists: check the source warehouse. If lines were created against the wrong one, recreate the transfer with the right source.
- Available stock dropped in the source warehouse before you completed: Parked transfers allocate their quantities there.
- You can't change Source or Destination: delete all Transfer Lines first.
- The import failed: products and warehouses must exist and can't be obsolete, and the columns must match the template. Unleashed emails you the reason.
Where Unleashed leaves the work to you
- Freight or labor for moving stock: transfers can't carry costs. Unleashed suggests a Stock Adjustment to add the value to each product.
- Deciding what to move and when. The Reorder Report suggests quantities, but someone has to review them and create the transfer.
- Getting the paperwork to the people at each warehouse and confirming the stock arrived.
Where Logistify fits
Logistify doesn't create warehouse transfers and doesn't choose which warehouse fulfills an order. The Sales Order Service enters customer orders into Unleashed as sales orders and replies with the quantity available on each line. To add transfer costs to stock value, see How to adjust stock on hand in Unleashed.
