Short answer
Unleashed calculates average landed cost (ALC) as total stock value divided by total stock quantity, and recalculates it each time a product's quantity or value changes. Purchase orders add the purchase price plus cost lines such as freight and duty. ALC is global across warehouses and excludes tax. To correct it, use a value-only Stock Adjustment or import a Stock Revaluation, which replaces the ALC for each product you list.
Before you start
- ALC = Total Stock Value ÷ Total Stock Qty.
- ALC is calculated only while a product has stock on hand. At zero stock, ALC is zero and Unleashed uses the Last Cost until stock comes in.
- Unleashed is tax-exclusive, so tax isn't in ALC.
- ALC is global. You can't set a different ALC per warehouse.
- To import a Stock Revaluation, your role needs the "Stock Revaluation" permission.
Step 1: See a product's ALC and its history
- 1Open the product record and click the Cost tab.
- 2Find the ALC field (not editable) in the top left, next to Last Cost.
- 3Use the grid's Pre Avg Cost and Post Avg Cost columns to see which transactions moved it.
- 4For all products, go to Reports > Purchases > Costing Analysis Report and filter by Product Code or Description.
Step 2: Know which transactions change ALC
| Transaction | When ALC changes | Effect |
|---|---|---|
| Purchase Order | At receipt, and at completion if costs are added after receipt | Purchase price plus cost lines (freight, duty, insurance) spread across the lines |
| Stock Adjustment | On completion | Quantity and value change; value-only adjustments change value alone |
| Stock Count | On completion | Stock Take Adjustments change value in proportion; zero-stock products use Last Cost |
| Import Stock Revaluation | On import | Replaces the ALC with the new value |
| Assembly | On completion | Component ALCs times quantities, plus supplier and NDP costs |
| Disassembly | On completion | The assembled product's ALC is split across the components |
| Supplier Return | On completion | Recalculated on remaining stock and value |
| Credit Note | On completion | Returned stock comes back at the current ALC, or Last Cost if stock is zero |
| Import Stock on Hand | On import | Sets the opening ALC for new products |
Step 3: Correct ALC for many products at once
- 1Go to Inventory > Transactions and select Import Stock Revaluation.
- 2Click Download Stock Revaluation Template File. It lists every product that has stock on hand.
- 3Enter the new cost in the NewAverageLandCost column, numbers only. Leave the column blank for products you aren't changing.
- 4Keep each file to 1,000 rows or fewer. Split larger files.
- 5Upload the file on the Import Stock Revaluation page and watch the task manager icon: orange is in progress, green is done, red is failed.
- 6Unleashed creates and completes a value-only Stock Adjustment for each product, with the reason "Stock Revaluation".
For one or two products, a value-only Stock Adjustment does the same job. See How to adjust stock on hand in Unleashed.
If something doesn't look right
- A product won't revalue: it has zero stock in every warehouse. It needs at least one unit on hand somewhere.
- ALC and Last Cost match even though the purchase order's landed cost was different: this happens when stock was receipted first and costs were added later.
- Values look wrong after a count: products that had zero stock were valued at Last Cost. Review them and correct with a Stock Adjustment or Stock Revaluation.
- Costs look off in a multi-currency setup: a Stock Adjustment value is in your base currency, while purchase orders convert from the supplier's currency.
- Stock shipped before freight was added: Unleashed recosts the shipped stock when the cost lines are added to the purchase order.
Where Unleashed leaves the work to you
- Adding every cost line (freight, duty, insurance) to purchase orders before they're completed.
- Spotting bad costs. Unleashed recalculates ALC automatically; its Help Centre recommends reviewing the Costing Analysis Report regularly.
- Choosing the right corrected value. Revaluations can't be back-dated and update ALC from the import date.
- Approving the journals Unleashed exports to Xero or QuickBooks after a revaluation.
Where Logistify fits
Logistify doesn't set or correct costs in Unleashed. The Sales Order Service enters customer orders as sales orders at the buyer's stated price, or the customer's Unleashed sell price tier. Unleashed works out sales margin from the unit price and your ALC. To spread freight across purchase orders, see How to split freight costs across purchase orders.
