Short answer
To adjust stock on hand in Unleashed, go to Inventory > Transactions > Stock Adjustments and select Add Adjustment. Choose the Warehouse and a Reason, add each product with a positive quantity to add stock or a negative quantity to remove it, check the Value, then click Complete. Adjustments can't be back-dated. If you're connected to Xero or QuickBooks and the value changes, Unleashed exports an adjustment journal that you approve there.
Before you start
- Your user role needs the "Stock Adjustment" permission.
- Set up your Adjustment Reasons first (Step 1). Every Stock Adjustment needs one before it can be completed.
- Decide whether you're changing quantity, value or both. Unleashed lets you do each separately.
- For a full recount of a warehouse, a Stock Count is usually the better tool. It creates the adjustments for you.
For counts, see How to do a stocktake in Unleashed.
Step 1: Set up Adjustment Reasons
- 1Go to Settings > System Settings > Adjustment Reasons.
- 2In the "Adjustment Reason" field, enter a unique name, such as Damaged goods, Write off, Promotion or Expired stock.
- 3Click Add. The reason is available straight away on new or Parked adjustments.
Step 2: Create the Stock Adjustment
- 1Go to Inventory > Transactions > Stock Adjustments and select Add Adjustment. You can also start one from a product's row in View Products (action cog > Adjust) or from a product record (Product menu > Create Adjustment).
- 2Select the Warehouse whose stock you're changing.
- 3Select the Reason.
- 4If you're connected to Xero or QuickBooks, check the Account. It defaults to your integration's cost of goods sold account.
Step 3: Add lines and complete
- 1Search for the product in the Product field.
- 2Enter the Quantity in base units: positive to add stock (5), negative to remove it (-5), or 0 to leave stock on hand unchanged.
- 3Check the Value. Unleashed suggests it from the product's average landed cost and the quantity, and you can type over it.
- 4Add a Comment if useful and click Add. The adjustment gets a number and Parked status. Parked lines don't change stock yet.
- 5For serial-numbered or batch-tracked products, click the Serial or Batch field and assign numbers. Use a separate line for each batch.
- 6Check the On Hand, On Hand Value and Avg. Land Cost columns to see the result, then click Complete.
If something doesn't look right
- The Value shows 0.00: the product's average landed cost is zero.
- The value didn't change when you edited the quantity: Unleashed doesn't update one when you change the other. Check both before completing.
- A value-only adjustment still needs a warehouse that has stock above zero for that product.
- The average cost jumped: adjusting quantity with a zero value changes the product's average landed cost.
- You need to adjust from a spreadsheet: individual Stock Adjustments can't be imported. Import counts into a Stock Count instead, which creates and completes an adjustment.
- A reason can't be deleted: it's used on existing adjustments. Renaming a reason changes it on all past adjustments too.
Where Unleashed leaves the work to you
- Finding the discrepancy in the first place, and deciding the right value to write off.
- Dating: adjustments take effect on the day you complete them, not the day the loss happened.
- Approving the adjustment journal in Xero or QuickBooks. Unleashed exports it when the total adjusted value is more than 0.01 or less than -0.01.
- Reviewing write-offs by reason. Export the Stock Adjustments list and filter by Reason.
Where Logistify fits
Logistify doesn't make stock adjustments in Unleashed. The Sales Order Service enters customer orders as sales orders and replies to the buyer with the quantity available on each line. To change product costs in bulk instead of quantities, see How average landed cost is calculated.
