Short answer
To import products in bulk into Unleashed, go to Inventory > Products > Import/Export and select Download Products Template File. Fill in at least Product Code and Product Description for each product, save as CSV, and upload it on the Products tab. To update existing products, use Export > Products, edit that file and upload it. Blank cells clear existing data, and imports can't be reversed, so keep a backup.
Before you start
- Only the Products template creates new products in bulk. The other tabs add details to products that already exist.
- Product Code (up to 100 characters) and Product Description (up to 500) are required.
- Suppliers named in the file must already exist in Unleashed, with both Supplier Code and Supplier Name given.
- Units of measure used in the file must already exist under Settings > System Settings > Units of Measure.
- Templates take plain text only. Images can't be imported this way.
- Export your current products first and keep the file as a backup. A completed import can't be undone.
Step 1: Get the right template
- 1Go to Inventory > Products > Import/Export.
- 2For new products, select Download Products Template File on the Products tab.
- 3To update existing products, click the Export drop-down in the top right and choose Products. The file comes pre-filled with your current data, including prices and sell price tiers.
Step 2: Fill in the file
- 1Enter Product Code and Product Description on every row.
- 2Add what else you need: Unit of Measure, Barcode, Default Purchase Price, Default Sell Price, Sell Price Tier 1-10, Pack Size, Min Stock Alert Level, Product Group, Product Brand and so on.
- 3Keep the Sell Price Tier column headers as they are. Don't rename them to your tier names.
- 4Product Group, Product Sub Group and Product Brand are created on import if they don't exist. Don't use commas in those names.
- 5Use YES or NO for flags such as Is Sellable, Is Purchasable, IsAssembledProduct and IsComponent. Is Serialized and Is Batch Tracked can't both be YES.
- 6When updating, delete the rows for products you aren't changing, but don't delete or reorder columns. A blank cell clears that field on the product (a blank Product Group, Product Sub Group or Product Brand is left unchanged).
- 7Format numeric fields such as Barcode as Text or Number so the full value imports.
- 8Save as CSV.
Step 3: Upload and check
- 1Return to Inventory > Products > Import/Export and upload the file on the Products tab. A file uploaded on the wrong tab fails.
- 2Check a few products in View Products to confirm prices, units and groups came through.
Step 4: Add stock, suppliers and other details
- Stock on Hand: sets opening quantity and average landed cost for products that have never had stock. It can't change existing stock; use a Stock Count or Stock Adjustment for that.
- Serial Numbers and Batch Numbers: turn on tracking for products that already have stock (only when those settings are on).
- Product Suppliers: default suppliers and supplier pricing. It can't remove a supplier.
- Inventory Details: min and max stock levels and bin locations per warehouse, when Per Warehouse Controls is on.
- Product Attributes: one Attribute Set at a time.
- Product Pricing: quantity-based sale prices. To update, export, then Delete All Product Prices, then import. That button removes all quantity prices for all products, so export first.
- Supplier Quantity Prices and Alternate Units of Measure: purchasing prices by quantity and extra purchasing units.
Unleashed also lists an AI Product Importer that maps your own CSV columns to product fields. It's in limited beta and not available on every account.
If something doesn't look right
- Fields went blank on existing products: the file had empty cells. Re-import those values from your backup export.
- Barcodes lost digits or changed format: the column wasn't saved as Text or Number.
- Opening stock didn't load: the product already had stock or transactions. Use a Stock Count instead.
- The import failed: check you used the right tab and the right template, and that suppliers and units already exist.
Where Unleashed leaves the work to you
- Turning each supplier's price list into Unleashed's template, with consistent codes, descriptions, units and pack sizes.
- Spotting duplicates and near-duplicates before they become separate products.
- Keeping a backup and checking every column before upload, since a bad import can't be reversed.
How Logistify helps
Product Catalog Cleanup turns supplier spreadsheets into clean SKUs, so the file you import into Unleashed starts consistent. Logistify doesn't upload products into Unleashed for you. Once products exist, the Sales Order Service enters customer orders for them as sales orders. To set up purchasing units before import, see How to set up multiple units of measure.
