Short answer

To email bills and receipts to Intuit Enterprise Suite, forward the email to your forwarding email address, or upload the file. The details can be in an attachment or the email itself. IES uses AI to read the vendor, date, amount and each line item, creates the transaction, and suggests a project. You accept or change each suggestion in your inbox, then save. Intuit's article covers supplier bills and receipts, not customer purchase orders.

Before you start

  • Automatic project tagging is available in Intuit Enterprise Suite in the United States.
  • You need your forwarding email address. Intuit's article doesn't say where to find it.
  • Your projects are set up. IES compares each receipt or bill with your projects to suggest one.
  • Coming from QuickBooks Desktop? Intuit notes that you no longer have to type a project name on every uploaded expense.

Step 1: Forward bills and receipts by email

  1. 1Find the email that contains the receipt or bill. The details can be in an attachment or in the email itself.
  2. 2Forward the email to your forwarding email address.
  3. 3IES creates the transaction, fills in the vendor, date, amount and line items, and suggests a project.

Step 2: Or upload the files

  1. 1Upload receipt and bill files directly in Intuit Enterprise Suite.
  2. 2IES reads the details and suggests a project, the same as for forwarded emails.

Intuit's article doesn't give the menu path for uploading, or say which file types it accepts.

Step 3: Review the suggested project

  1. 1Open your inbox to see transactions with suggested projects.
  2. 2Check the suggested project on each transaction.
  3. 3Accept the suggestion, or select a different project.
  4. 4Save the transaction. The cost is then tracked to that project.

Suggested projects are only suggestions. Nothing is final until you review it.

Step 4: Find transactions with no project

  1. 1Go to your expense list page.
  2. 2Review the Projects column to see each transaction's project.
  3. 3Filter by Unassigned to see transactions that don't have a project yet.
  4. 4Open each one, then select the correct project.

Where Intuit Enterprise Suite leaves the work to you

  • Intuit's article covers supplier bills and receipts only. It doesn't describe reading customer purchase orders or creating sales orders from them.
  • Every suggested project needs someone to accept or change it.
  • The article doesn't say where to find your forwarding address, where to upload files, or which file types work.
  • The article doesn't mention matching a bill to a purchase order or an item receipt.
  • Automatic project tagging is available in the US only.

How Logistify helps

Intuit Enterprise Suite reads the bills your suppliers send. Logistify's Sales Order Service handles the other direction: it enters the purchase orders your customers send into IES as sales orders, whether they arrive by email, PDF, Excel (including .xls), EDI, WhatsApp, SMS, voicemail or paper. A person reviews exceptions. For orders you've placed with suppliers, the Procurement Service follows up with them on open IES purchase orders. Both are managed services, not connectors or apps. To see what happens once an order is in, read how to create a sales order and turn it into an invoice.
